Robert Half is recruiting for an experienced Payroll Specialist to join a well-established, family-owned company in Birmingham. This position will oversee weekly payroll administration for approximately 1,200 employees across multiple states and offers an excellent opportunity for long-term career growth, including a planned transition into a Payroll Manager role within the next two years.
The ideal candidate will have extensive experience with ADP Workforce Now, multi-state payroll processing, and high-volume payroll operations. This is an excellent opportunity for a payroll professional seeking a stable organization with a defined path into leadership.
Responsibilities
- Manage weekly payroll preparation, processing, and reporting for approximately 1,200 employees across multiple locations.
- Coordinate with branch managers and timekeepers to ensure accurate employee timekeeping and payroll records.
- Maintain employee payroll information, including compensation changes, deductions, garnishments, direct deposits, and employee transfers.
- Ensure compliance with federal and multi-state payroll tax regulations and reporting requirements.
- Process commissions, bonuses, disability payments, and other payroll adjustments.
- Research and resolve payroll discrepancies, employee inquiries, and direct deposit issues.
- Maintain PTO and vacation accruals and coordinate payroll-related benefits information.
- Reconcile payroll general ledger accounts and collaborate with accounting on necessary journal entries.
- Prepare payroll reports, headcount reports, and year-end payroll documentation.
- Partner with HR and benefits teams to ensure accurate employee records and payroll administration.

- 5+ years of hands-on experience with ADP Workforce Now required.
- Strong knowledge of multi-state payroll processing, tax regulations, and compliance requirements.
- Previous payroll experience in a manufacturing environment required.
- Experience managing high-volume payroll for a multi-location organization preferred.
- Advanced Microsoft Excel skills and proficiency with Microsoft 365.
- Knowledge of payroll accounting, general ledger reconciliations, and journal entries preferred.
- Strong organizational skills with exceptional attention to detail and accuracy.
- Excellent communication skills and ability to work effectively with employees and management.
- Ability to maintain confidentiality and meet strict weekly payroll deadlines.
