We are looking for an Accounts Payable Specialist to join our team in Walnut Creek, California in a contract role with permanent potential. This position supports client bill payment operations by coordinating invoice intake, reviewing account activity, and helping ensure timely and accurate disbursements each week. The ideal candidate brings strong organizational skills, careful attention to detail, and prior accounts payable experience in a fast-paced, deadline-driven environment.
Responsibilities:
- Manage the full bill payment process for a portfolio of client accounts, ensuring invoices are prepared and processed accurately each week.
- Collect and organize incoming bills received through mail, email, and fax, and maintain a clear workflow for review and payment scheduling.
- Partner with management to identify payment priorities and determine which obligations should be issued during each processing cycle.
- Review available funds across multiple client accounts to confirm cash balances before payments are released.
- Prepare regular reporting on outstanding checks and anticipated cash requirements to support client account oversight.
- Enter invoices into the accounting platform, apply correct account coding, and generate checks for managerial approval and signature.
- Process payment activity through check runs and electronic methods such as ACH when applicable.
- Maintain accurate records and follow established procedures while adapting to internal accounting systems and client-specific requirements.
- Bachelor’s degree required.
- At least 3 years of hands-on accounts payable experience.
- Working knowledge of invoice coding, account coding, and general AP processing practices.
- Experience supporting payment execution through check runs and ACH transactions.
- Strong attention to detail with the ability to manage a high volume of invoices and deadlines accurately.
- Comfortable following structured procedures and maintaining organized documentation across multiple accounts.
- Ability to work on site in Walnut Creek, California.
