Job Details
We are seeking a detail-oriented and dependable HR Operations Coordinator (Temp-to-Hire) to support Regional Human Resources with staffing agency invoice reconciliation, workforce data management, and labor cost analysis. This entry-level role helps ensure accurate billing and provides practical data insights to support regional workforce planning and cost control.
Working closely with Regional HR, you will verify attendance, hours worked, and billing rates; follow up on invoice discrepancies; and organize labor data by region, site, and staffing vendor. You will also help identify cost trends and opportunities to improve staffing levels, overtime management, and labor spending.
Responsibilities and Duties:
• Invoice Reconciliation:
Support Regional HR in collecting and reviewing staffing agency invoices. Verify worker rosters, billing periods, regular and overtime hours, pay rates, and vendor fees against approved attendance records and contract terms.
• Discrepancy Resolution:
Identify and follow up on incorrect hours, rate discrepancies, duplicate charges, and other billing issues. Coordinate with Regional HR, site managers, and vendors to confirm corrections.
• Workforce Data Management:
Maintain accurate records of staffing headcount, total hours, overtime, attendance, and workforce changes by region, site, and vendor. Keep source records organized and traceable.
• Labor Cost Analysis:
Prepare summaries of total staffing costs, regular labor charges, overtime charges, and vendor fees. Calculate average hourly labor cost, cost per worker, and overtime cost as a percentage of total spending.
• Cost Trends and Variance Analysis:
Compare labor costs across sites, vendors, and reporting periods. Help explain changes based on headcount, hours, rates, and business volume, and track actual spending against available budgets or staffing plans.
• Staffing Efficiency and Cost Improvement:
Use business volume data provided by Operations to help analyze labor cost and hours per unit of activity. Flag unusual overtime or staffing levels that may not align with operational needs for Regional HR and Operations to review.
• Reporting and Data Quality:
Prepare weekly or monthly workforce and labor cost reports using basic charts and summaries. Perform routine data checks, highlight key exceptions, and track follow-up actions.
• Coordination and Process Support:
Under the coordination of Regional HR, work with Operations, Procurement, Finance, and staffing vendors to verify data and prepare supporting documents for payment review. Help improve invoice templates, reconciliation steps, and reporting consistency.
Requirements/Qualifications:
• Associate degree or higher; studies in Human Resources, Finance, Accounting, Data Analytics, Business Administration, or a related field are preferred. • Recent graduates and entry-level candidates are welcome. • Experience with invoice reconciliation, timekeeping, data entry, or HR administration is a plus. • Basic Excel skills, including filtering, sorting, SUM, and IF. Familiarity with VLOOKUP/XLOOKUP, pivot tables, and simple charts is preferred. • Basic analytical skills, including calculating averages, percentages, growth rates, and cost variances, and explaining findings clearly. • Ability to organize data from different sources and accurately check worker records, hours, rates, and amounts. • Good communication and follow-up skills, with the ability to support Regional HR and coordinate with site teams and staffing vendors. • Strong attention to detail, reliability, and the ability to meet recurring reconciliation and reporting deadlines. • Ability to handle employee information, labor costs, and vendor pricing confidentially.
**Willingness to learn staffing, timekeeping, billing, and labor cost analysis processes.
Experience with Rippling or other HR or timekeeping systems is a plus.
