As we expand, we are seeking a compassionate and organized Front Desk Receptionist to be the welcoming face of our practice.
Position Overview
This is a full-time position ideal for someone who is empathetic, detail-oriented, and comfortable working in a mental health setting. Hours are Monday through Friday, approximately [Start Time] to [End Time]. The right candidate will bring professionalism, discretion, and a genuine care for people to this role.
Key Responsibilities
- Greet and check in clients in a warm, professional, and confidential manner
- Answer and direct incoming phone calls; schedule and confirm appointments
- Verify insurance eligibility and collect co-pays or fees at time of service
- Maintain accurate client records in compliance with HIPAA regulations
- Coordinate scheduling with therapists and clinical staff
- Manage office supplies, mail, and general office organization
- Respond to client inquiries via phone and email with professionalism
- Handle sensitive situations calmly, compassionately, and with discretion
Qualifications
- High school diploma or equivalent required; Associate’s degree preferred
- 1–2 years of front desk, administrative, or medical/mental health office experience preferred
- Familiarity with HIPAA regulations and mental health privacy standards a plus
- Experience with scheduling or EHR software (e.g., SimplePractice, TherapyNotes) a plus
- Strong verbal and written communication skills
- Ability to remain calm and professional in sensitive or emotionally charged situations
- Bilingual English/Spanish a plus but not required
