Job Title: Inventory Lead Department: Inventory

Job Summary:
As the Inventory Lead at Refreshed Tech, you will lead the team responsible for the accuracy of our inventory, from the warehouse floor to the system of record. You will run the cycle count program, keep every unit traceable by UID, find the root cause of variances, and make sure physical inventory, Odoo, and inventory valuation agree. Accurate inventory supports fulfillment across our sales channels, our financial reporting, and our bank audit requirements.
Essential Duties, Functions and Responsibilities:
○ Lead and mentor a team of inventory associates and assistant leads, providing guidance, training, and support.
○ Plan and assign daily count, research, and location work so that priorities are covered on every shift.
○ Set clear expectations for accuracy and productivity, give regular feedback, and address performance issues with the Warehouse Manager.
○ Train warehouse and production staff on scanning discipline, labeling standards, and proper transaction practices.
- Cycle Counts and Physical Inventory:
○ Run the standing cycle count program, including daily warehouse location counts, scheduled counts of non-warehouse locations, and monthly raw material counts.
○ Count Production/Sorting by purchase order and PO stage, confirming units on hand against ordered less received quantities.
○ Prepare for and lead full physical inventory counts, including count sheets, recounts, and post-count reconciliation.
○ Keep location and bin accuracy current so that physical placement matches the system at all times.
- Inventory Accuracy and Traceability:
○ Maintain unit-level UID and serial traceability from receipt through processing, grading, storage, and shipment.
○ Investigate variances to root cause, including mis-picks, unrecorded moves, mislabeled units, UID swaps, and transaction errors, and document the findings.
○ Research missing, mis-shipped, or duplicated units across wholesale, live selling, and e-commerce channels.
○ Manage quarantine and shrinkage locations so that units are reviewed, resolved, and never moved back into sellable stock without documentation.
- Odoo Transactions and Adjustments:
○ Oversee inventory transactions in Odoo, including internal transfers, scrap, regrades, returns, and quantity adjustments.
○ Ensure every inventory adjustment has supporting documentation and is approved under company policy, with Finance sign-off for adjustments above the threshold set by Finance.
○ Escalate receiving discrepancies, including short shipments, overages, and damage, to Procurement.
- Reconciliation and Audit Support:
○ Partner with Finance to reconcile on-hand quantities and values by location to inventory valuation, and research differences.
○ Provide count documentation, sample pulls, and supporting records for internal reviews and bank-required inventory audits.
○ Identify recurring error patterns and recommend process, system, or training changes to prevent them.
○ Collaborate with Receiving, Production, Shipping, Procurement, and Finance to correct errors at the source.
- Reporting and Documentation:
○ Report regularly on count completion, inventory accuracy, adjustments, shrinkage, and aging to the Warehouse Manager and Finance.
○ Maintain written procedures for counts, adjustments, and location management.
Competencies/Skills/Abilities:
- Proven experience in inventory control within a warehouse, distribution, or production environment.
- Strong leadership and team management skills.
- Excellent problem-solving skills, with the discipline to trace a discrepancy to its cause rather than adjust it away.
- Proficiency with ERP or warehouse management systems and barcode scanning equipment.
- Working knowledge of cycle counting methods, including ABC classification and recount procedures.
- Intermediate Excel or Google Sheets skills, including sorting, filtering, lookups, and pivot tables.
- Good communication skills and the ability to work collaboratively with cross-functional teams.
- Attention to detail and commitment to accuracy in a high-volume, transaction-heavy environment.
- Strong organizational and time-management skills.
Required Education and Experience:
- High School Diploma
- Previous leadership experience
- 2 or more years of experience in inventory control or warehouse operations
- Experience with serialized or unit-tracked inventory
- Computer skills
Preferred Education and Experience:
- Bilingual in English and Spanish Highly Preferred
- Experience with Odoo or a similar ERP inventory module
- Knowledge of Google Suite
- Background in electronics, ITAD, or refurbishment
- Experience with physical inventory counts subject to external audit
- Certified, or able to be certified, on a pallet jack and pallet stacker
Work Environment:
- Work is performed indoors in a warehouse and production environment, where noise levels and temperatures may vary.
- Extended hours may be required during physical inventory counts, month-end, and peak fulfillment periods.
