We're a vertically integrated American manufacturer with a brand that's growing into something bigger: the outdoor home. As we scale into the next era of brand-led growth, we're building teams that support safe, effective operations and help POLYWOOD continue to grow.
ABOUT THE ROLE
POLYWOOD is looking for a Business Systems & Project Coordinator to help our Environmental, Health, and Safety (EHS) team keep its projects, systems, information, and records running smoothly across locations in Indiana and North Carolina. In this role, you’ll coordinate project timelines, support HSI Safety Management Suite and Paylocity Learning, review data and reports for accuracy, and keep documents and training records organized. You’ll work closely with EHS colleagues and partner with our IT and Data teams to ensure systems and dashboards provide useful, reliable information.
The immediate focus is project coordination, systems support, and data quality. As you develop in the role, your responsibilities may gradually expand to include coordinating or owning selected EHS programs, training, or compliance activities based on business needs and your strengths.
WHAT YOU’LL DO
- Coordinate timelines for key EHS projects and rollouts across POLYWOOD locations.
- Maintain project trackers with clear tasks, owners, target dates, status updates, and next steps.
- Schedule project check-ins, share reminders, document decisions, and follow up on commitments.
- Identify potential delays or decisions early and help the project team determine practical next steps.
- Organize project notes, completion records, and supporting documentation so information is easy to find.
- Support the day-to-day administration of HSI and Paylocity Learning, including digital forms, inspection and layered process audit (LPA) templates, course assignments, notifications, and reports.
- Update digital forms using content provided and reviewed by EHS colleagues.
- Test system updates, gather user feedback, prepare clear instructions, and respond to routine system questions.
- Partner with IT and Data teams to communicate reporting needs and verify that dashboards and system updates provide the right information. Programming and data-pipeline development are not required.
- Review records and reports for missing, duplicate, or inconsistent information and coordinate corrections.
- Use Google Sheets and available systems to organize information and prepare routine EHS reports.
- Test dashboards by comparing results with source records and flagging questions or discrepancies.
- Keep procedures, job aids, and other documents current, organized, and routed to the appropriate people for review.
- Maintain training assignments and completion records in Paylocity Learning and send reminders when training is due.
- Format training materials using information reviewed by EHS colleagues and coordinate training schedules and records.
- Maintain calendars and records for recurring inspections, service visits, and renewals; coordinate dates and file completed records.
WHAT YOU BRING
- Demonstrated experience coordinating projects, tasks, or multi-step work involving multiple people or departments.
- Experience supporting software and organizing data, documents, and records.
- Proficiency with Google Sheets or similar tools, including formulas, pivot tables, and reports.
- Strong organizational skills and a consistent approach to tracking commitments and following through.
- Comfort learning new software and working across multiple systems.
- Careful attention to data quality, with the ability to identify missing, duplicate, or inconsistent information.
- Clear communication skills and the judgment to ask questions when requirements or information are unclear.
- The ability to collaborate effectively with people in different roles and functional areas.
- Comfort visiting manufacturing areas, following site safety and PPE requirements, and traveling occasionally between locations.
WHY THIS ROLE MATTERS
