Forte & Tablada is seeking an organized, proactive Division Project Coordinator (DPC) to support our Geospatial Division. This role is a great fit for someone who enjoys keeping projects, people, and information organized while working closely with both field and office teams.
The DPC serves as a project controls and administrative partner to Project Managers, Group Leaders, and Division Leadership, helping ensure project financial, contractual, schedule, and administrative information remains accurate and current throughout the project lifecycle.
What You'll Do
- Maintain accurate project and phase information in Deltek Vantagepoint and support project data integrity.
- Coordinate with Project Managers and Finance to support monthly billing, accounts receivable follow-up, and other project financial activities.
- Help coordinate monthly project reviews, prepare project information, track action items, and follow up through completion.
- Support project setup, contracts, amendments, task orders, subconsultant documentation, and project closeout.
- Maintain employee certifications, licenses, and project information used for qualifications, proposals, and project profiles.
- Coordinate travel and accommodations for Geospatial field crews.
- Help coordinate and track employee training and certifications, including safety and drone/UAS-related certification activities.
- Support field crew scheduling, equipment and fleet coordination, inventory management, and other operational needs of the Geospatial team.
- Work across project teams, leadership, Finance, and firm administration to keep projects moving and proactively address administrative needs.
What We're Looking For
- High school diploma or equivalent required; associate or bachelor's degree in business administration, accounting, finance, project management, construction management, or a related field preferred.
- 2-4 years of experience in project coordination, project administration, project controls, project accounting support, or a related role preferred.
- Strong Microsoft Office skills, particularly Excel and Outlook.
- Experience with ERP, project management, or project accounting systems; Deltek Vantagepoint experience is preferred.
- Strong organizational, communication, analytical, and problem-solving skills.
- Exceptional attention to detail and accuracy.
- Ability to manage multiple projects, priorities, and deadlines while following through consistently.
- Ability to collaborate effectively with field staff, Project Managers, leadership, Finance, and administrative teams.
Why This Role Matters
The DPC is more than an administrative support position. You'll be embedded in the day-to-day work of the Geospatial Division, helping project teams maintain visibility into schedules, contracts, billing, documentation, and operational needs so they can keep projects moving efficiently.
If you're someone who enjoys bringing structure to moving pieces, catching details others may miss, and helping technical teams stay organized and on track, we'd love to hear from you.
