Summary of Essential Duties
The Dispatch System Implementation Specialist leads the planned transition from pilot-centric dispatching, load planning, and performance analysis to a centralized dispatch platform. The role coordinates flight planning, load and weight-and-balance planning, runway analysis, aircraft performance planning, and a Part 121-style planning and release workflow with flight crew concurrence.
The position leads requirements, implementation, testing, training, and adoption, then supports system reliability and continuous improvement. Assigned flight-following duties support this work and remain subject to current approved manuals, company-delegated authority, and applicable operating rules
Key Responsibilities
- Lead requirements gathering and current-state-to-target workflow design for centralized planning and release, defining responsibilities, flightcrew concurrence, handoffs, and controls across flight planning, load/weight-and-balance, runway analysis, and aircraft performance.
- Maintain the implementation plan, milestones, dependencies, risks, issues, and progress reporting. Coordinate decisions and resources with Flight Operations, SOC, flightcrews, Maintenance Control, other affected departments, vendors, and IT.
- Coordinate vendor and IT activities for configuration, role-based access, data cleanup, mapping, migration, and interfaces or integrations as applicable. Establish data-quality checks and resolve discrepancies.
- Develop test scripts and coordinate user acceptance, regression, and operational scenario testing. Validate flight plans, release workflows, load/weight-and-balance outputs, runway analysis, and performance results with qualified operational personnel; document defects, resolution, and acceptance evidence.
- Develop SOPs, user guides, and training; support adoption and workflow standardization. Coordinate fallback procedures, readiness reviews, required approvals, and cutover so implementation does not disrupt safe operations.
- Provide post-launch system administration and user support, issue triage, vendor escalation, reporting, and controlled change testing. Monitor data integrity, recurring problems, and workflow effectiveness to support continuous improvement.
- For assigned flight-following coverage, monitor flight progress and aircraft/crewmember flow, maintain central communications, and convey safety information. Coordinate irregular operations with input from the PIC, Maintenance Control, Flight Operations leadership, and company sales as applicable.
- Review approved weather sources, route forecasts, airport restrictions, maintenance/mechanical delays, and other adverse conditions; communicate hazards and recommendations. Apply the GOM and other company manuals, and verify applicable crew duty/rest limits when flights change.
- Support release, itinerary changes, delay, cancellation, re-release, and safe or economic rerouting only within current approved manuals, delegated authority, and applicable rules, with PIC/leadership concurrence as required. Escalate unsafe conditions and support suspension or revision when the PIC or authorized flight follower considers safe continuation doubtful.
- For assigned operations, verify each trip segment, coordinate release-relevant aircraft status with Maintenance Control, use FOS or FL3XX as applicable, and record delays in the appropriate operational and communications systems. When applicable to the assigned operation, coordinate charter services, passenger and crew vetting, DOD landing permits or prior permission, and international permissions through the appropriate handlers.
- Maintain confidentiality of company, operational, technical, and customer information, and perform other duties assigned by management.
