Executive Administrative Coordinator
If you are highly organized, proactive, and enjoy being the person who keeps important work moving, this may be a great fit for you. You'll work directly with Beacon's President/CEO and Board of Directors while coordinating projects, events, administrative operations, and governance processes across the organization. And you'll do it in support of a mission that helps people with disabilities and other barriers to employment build skills, find meaningful work, and achieve greater independence.
What You'll Do
- Provide administrative support to the President/CEO and Senior Management.
- Coordinate Board and committee administration, including meeting calendars, agendas, materials, minutes, records, follow-up, and new Board member onboarding.
- Maintain and improve administrative and governance processes, SOPs, calendars, and tracking systems.
- Coordinate cross-departmental administrative projects and organization-wide initiatives.
- Coordinate logistics for Board, executive, donor, staff, and other key organizational events.
- Provide functional oversight of front desk and administrative-support processes.
- Anticipate recurring needs and deadlines and ensure follow-through without requiring frequent direction.
What We're Looking For
- 3–5 years of progressively responsible administrative, executive support, office management, governance support, or related experience.
- Experience supporting executives, Boards of Directors, committees, or similar governance bodies strongly preferred.
- Excellent organization, attention to detail, written communication, and follow-through.
- Ability to manage competing priorities and anticipate what needs to happen next.
- Sound judgment and discretion when handling confidential or sensitive matters.
- Ability to work effectively with senior leaders, Board members, staff, clients, and external stakeholders.
- Advanced proficiency with Microsoft 365, particularly Outlook, Word, Excel, and Teams.
- AA degree or equivalent; relevant experience may substitute for education.
