Customer Service Representative (CSR) / Service Operations Coordinator
Commercial Pool Service Company Location: In-Office Position, Livingston County, MI Salary Range: $75,000/yr - top end negotiable based on candidate qualifications
Position Overview:
We are seeking an experienced Customer Service Representative (CSR) to join our growing commercial pool service team. Candidates must have previous experience in a similar role working for a trade contractor or service-based company.
Working alongside another experienced CSR, you will coordinate your own group of field service technicians and play an integral role in managing customer communications, preparing service estimates, scheduling technicians, and overseeing work order processing.
This position is ideal for a highly organized, detail-oriented professional who excels at communication, takes ownership of responsibilities, and is committed to delivering exceptional customer service.
Key Responsibilities:
- Manage incoming customer calls and email communications, providing timely, professional, and effective support.
- Coordinate and manage a designated group of field service technicians, including scheduling and communicating daily service assignments.
- Prepare service estimates and coordinate the scheduling of field technicians.
- Work closely with internal teams to ensure service requests are properly communicated, coordinated, and completed.
- Prepare and process customer invoices using QuickBooks Desktop.
- Handle related administrative and record keeping functions, ensuring accuracy and timely processing.
- Process and close out completed work orders using the company's field management software.
- Maintain accurate records and follow established company procedures from initial customer contact through final work order completion.
- Collaborate daily with experienced field technicians to review incoming estimates, discuss completed work, and develop industry-specific knowledge.
Required Qualifications & Skills:
- Previous experience as a Customer Service Representative or in a similar administrative coordination role for a trade contractor or service-based business is required.
- High level of proficiency with QuickBooks Desktop, particularly customer invoicing and administrative functions, is a must.
- Strong working knowledge of Microsoft 365 applications.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to coordinate multiple technicians, manage competing priorities, and maintain accurate scheduling and records.
- A demonstrated commitment to customer satisfaction and professional service.
- Ability and willingness to follow documented processes and see tasks through to completion.
- A proactive, team-oriented approach with the ability to take ownership of assigned responsibilities.
Training & Professional Development:
While prior contractor or service-industry experience is required, commercial pool industry experience is not. We are committed to providing the industry-specific training necessary to help the right candidate succeed. You will work alongside a senior-level field technician every day, providing direct access to hands-on industry knowledge, technical guidance, and support with incoming estimates and completed work. You'll also benefit from the collective experience of a company with more than 400 years of combined industry experience.
Compensation & Benefits:
Annual Salary: $75,000/yr - top end negotiable based on candidate qualifications
We offer a robust benefits package, including:
- 100% employer-paid employee health insurance.
- 100% employer-paid employee dental insurance.
- 100% employer-paid employee vision insurance.
- 100% employer-paid employee long-term disability coverage.
- 401(k) with a 4% company match.
- Paid Time Off (PTO) program.
- Potential semiannual company performance bonuses.
