Overview
The Internal Projects team drives and supports high-impact, cross-functional business initiatives, ranging from one-time process or technology implementations to recurring business processes. This team continues to be a go-to resource for projects across the organization due to its consistent delivery of exceptional results, commitment to driving projects forward, and highly collaborative partnership with our departments. We expect every member of the team to be passionate and dedicated, and to approach every project with the same sense of ownership and purpose as the departments the project is serving. In this role, you will act as a Project Manager and manage mission-critical projects that advance our organizational goals - implementing new business technologies, designing and improving process workflows, and managing large-scale organizational processes. You will be responsible for the overall management and oversight of assigned projects: ensuring projects are completed effectively, resources are managed and supported, updates are delivered clearly and on time, and post-rollout activity and feedback are monitored to ensure seamless adoption and sustained success. For each of your assigned projects, you will also lead the internal communication, documentation, and training efforts that make that adoption stick. The ideal candidate is a results-oriented professional who thrives in a fast-paced environment, is highly organized, and has strong interpersonal and communication skills along with the ability to lead and engage inter-departmental project teams. This role provides significant exposure to the WS organization and senior leadership, as well as to a breadth of projects and company initiatives.
Primary Responsibilities:
Project Management & Leadership
- Lead cross-functional projects independently - often large-scale initiatives affecting multiple teams and systems - from initiation to completion, ensuring milestones are met on schedule and within scope while proactively managing stakeholder expectations.
- Define and manage project scope, timelines, budgets, and staffing to ensure successful delivery of milestones.
- Proactively identify and mitigate obstacles and risks, ensuring project continuity and quality.
- Drive execution across teams and stakeholders who don't report to you, creating structure, clarity, and accountability throughout the project.
- Financial Management
- Develop business cases that demonstrate the value proposition for moving a project forward, and track and report project spend against budget.
Task Coordination
- Develop and manage detailed project plans, timelines, deliverables, and resource requirements in collaboration with the project team.
- Documentation
- Create and maintain project documentation, including process workflows, communication plans, training materials, and status updates.
AI & Productivity Tools
- Champion the use of AI to work more efficiently across the project lifecycle including accelerating documentation, meeting follow-ups, training materials, and status reporting; help raise the bar for how project teams and the broader organization adopt these tools.
Team Collaboration
- Facilitate productive project team meetings by preparing agendas, recording minutes, tracking action items, and following up to ensure project team accountability.
Stakeholder Communication
- Provide regular project updates to stakeholders, ensuring transparency and alignment throughout the project lifecycle.
Adoption & Post-Rollout Success
- Monitor post-rollout activity and feedback, troubleshoot adoption gaps, and make the changes needed to ensure new processes and systems take hold for the long term.
Standards & Best Practices
- Adhere to and promote the team's established project management standards, templates, procedures, and best practices.
Requirements
- Minimum of 4 years of project management experience leading internal, cross-functional business initiatives such as process improvement, system or technology implementations, operational programs, or large-scale organizational projects.
- Bachelor's degree in business administration, project management, or a related field.
- Proficiency with project management tools (e.g., Monday.com, Wrike) and the Microsoft Office suite (Outlook, PowerPoint, Excel, Word).
- Proven ability to manage multiple concurrent projects and communicate effectively with all levels of the organization, including senior leadership.
- Strong interpersonal and communication skills, with a collaborative and customer-centric approach.
- Strong public speaking and presentation skills, with demonstrated comfort presenting to groups and leading trainings.
- Demonstrated ability to facilitate meetings with diverse stakeholder groups and align teams toward common goals.
- Fluency with, and enthusiasm for, AI tools. You actively use AI to work smarter and faster, and you're excited to champion its thoughtful adoption across the projects you lead.
- PMP or similar project management certification a plus but not required.
- Background in real estate and/or retail industries a plus but not required.
Applicants must be legally authorized to work in the United States without the need for employer sponsorship, now or in the future.
The expected salary range for this position is $110,000-$140,000 per year. Actual compensation will be based on factors such as skills, qualifications, experience, and location. This role is also eligible to participate in our annual bonus program.
