Keeping Contingent Workforce Programs Moving At Workwell North America, we help clients manage the day-to-day details that keep contingent workforce programs running smoothly. We're looking for a Program Specialist to provide onsite operational support for an MSP program and serve as a trusted point of contact for contingent workers, hiring managers, and staffing suppliers. You'll support requisition activity, VMS administration, supplier coordination, compliance documentation, reporting, onboarding, and offboarding. This role is well suited for someone who is organized, responsive, comfortable working across multiple priorities, and committed to creating a consistent service experience.
Why This Role Is Different
- You'll be close to the work. You'll support the daily activity that directly affects hiring managers, contingent workers, and staffing suppliers.
- You'll help create a consistent program experience. Your follow-through, communication, and system accuracy will keep requests moving and stakeholders informed.
- You'll work across the full assignment lifecycle. From requisition to intake and interviews through onboarding, extensions, and offboarding, you'll help coordinate the details that matter.
- You'll contribute to continuous improvement. You'll help identify process gaps, strengthen VMS adoption, and support reliable reporting and compliance.
What You'll Do Client and Onsite Support
- Maintain a consistent onsite presence at the client location and provide responsive day-to-day program support.
- Support the Program Manager as a point of contact for contingent workers, hiring managers, and staffing suppliers.
- Help conduct in-person check-ins with hiring managers to understand workforce needs and strengthen program utilization and service.
- Respond to urgent requests with a high level of care, professionalism, and follow-through.
Requisition and Workforce Coordination
- Support contingent labor requisitions from intake through onboarding, assignment management, and offboarding.
- Review requisition details for completeness, budget alignment, job classification, and compliance requirements before supplier release.
- Coordinate interviews, collect feedback, support offer activity, and help facilitate hiring decisions with hiring managers.
- Track worker start dates, assignment end dates, extensions, and redeployment opportunities while supporting established service levels.
Supplier Coordination and VMS Administration
- Serve as a liaison among the client, staffing suppliers, and internal program team.
- Maintain accurate VMS data for requisitions, candidate activity, onboarding milestones, worker records, extensions, and assignment endings.
- Monitor supplier activity and support reporting on fill rate, response times, submittal quality, compliance, and other program measures.
- Provide first-level VMS support and help hiring managers and suppliers understand program workflows and requirements.
Compliance, Reporting and Improvement
- Support onboarding requirements, background check coordination, safety training, and contingent workforce procedures.
- Audit program records and documentation for completeness, accuracy, and alignment with client and company standards.
- Prepare and review reports related to headcount, supplier activity, aging requisitions, spend, worker status, and program performance.
- Maintain escalation records and support audits, quarterly business reviews, special projects, and process-improvement initiatives.
What You Bring
- Experience supporting contingent workforce, staffing, client service, program operations, or related function.
- Working knowledge of requisition management, onboarding and offboarding processes, and compliance documentation.
- Strong client service, communication, organization, and issue-resolution skills.
- Ability to maintain accurate system records, review operational reports, and manage competing priorities.
- Ability to maintain the required onsite schedule and respond promptly to urgent operational needs.
- Experience supporting an MSP program or working with a Vendor Management System is preferred.
- Experience with supplier KPIs, scorecards, audits, quarterly business reviews, workforce reporting, or process improvement is a plus.
What Success Looks Like You'll help create a reliable, responsive program experience by keeping workforce activity organized, maintaining accurate information, supporting strong supplier and client communication, and helping the program meet its service and compliance expectations.
