Original job description

Womble Bond Dickinson (US) LLP is seeking a Practice Intelligence Analyst to join our team. The Practice Intelligence Analyst supports the firm's shift to a technology-forward model for practice information and intelligence and reports to the Director of Practice Intelligence.

The role has two focus areas. The first is self-service enablement: building and maintaining model-based workflows and templates in the firm's AI platforms so requesters can resolve recurring requests directly instead of routing them to an analyst. The second is business process automation: identifying manual, repetitive, high-volume steps in department and firm workflows and converting them into documented, monitored, measurable automations.

Practice Intelligence is a newly formed department. The Practice Systems Analyst should expect an evolving scope, significant autonomy, and the opportunity to shape the role and the department's operating model.

RESPONSIBILITIES:

Self-Service Enablement and Model-Based Workflows

  • Build, configure, test, and maintain model-based workflows in the firm's AI platforms so recurring requests can be completed by the requester without analyst intervention.
  • Design, publish, and version reusable prompts, workflow templates, and structured query sets for common request types across practice groups, and create guided intake forms, decision aids, and routing logic that direct requesters to the correct platform, workflow, or template.
  • Define and document validation standards for model output, including source confirmation, currency checks, and the conditions that require escalation, and serve as the escalation point when a self-service workflow does not resolve a request.
  • Monitor self-service adoption, completion, and abandonment, identify where requesters stall or escalate, and revise workflows in response, converting recurring escalations into new or improved workflows

Business Process Automation

  • Analyze department and firm-wide information workflows to identify manual, repetitive, or high-volume steps suitable for automation, and design, build, and maintain automations using the firm's workflow and integration tooling, including intake routing, assignment, notification, alerting, delivery, and reporting flows.
  • Document process logic, exception handling, and human review points for every automation placed into production, test automations before deployment, monitor them in production, and remediate failures promptly.
  • Measure volume, cycle time, and rework before and after automation and report results to the department, and partner with Practice Systems, Information Technology, Womble AI Labs, and platform vendors on integrations across information platforms and practice-specific applications.

Scheduled Prompts and Automated Delivery

  • Convert recurring retrieval patterns into scheduled searches, standing alerts, and automated delivery wherever the request pattern supports it
  • Handle materials in accordance with license terms and copyright requirements

Platform Governance and Output Validation

  • Record the platform, model, prompt or query approach, and validation performed so that work can be verified and audited
  • Participate in testing and evaluation of new platforms, models, integrations, and product features

Enablement and Adoption

  • Deliver training and build instructional materials, quick reference guides, and workflow documentation covering practice-specific applications, automations, and self-service pathways, and guide attorneys, paralegals, and professional staff on prompt construction, workflow selection, and validation expectations.
  • Design, deploy, and monitor alert automations for practice groups and client teams.
  • Maintain working knowledge of the firm's practice areas, clients, and service lines, as well as information platforms, automation tooling, and model capabilities, including new releases and features.

Service Operations and Administration

  • Record intake, assignment, and completion data in the department's request management and reporting systems, and report on request volume, request types, timelines, self-service deflection, and automation performance.
  • Evaluate platforms and technologies and contribute to subscription, renewal, trial, and procurement decisions, and monitor usage and adoption data for assigned platforms, reporting on trends.
  • Contribute to department service standards, metrics, and continuous improvement efforts, support department communications and outreach, and participate in professional associations and continuing education relevant to the role.

REQUIREMENTS:

  • Work fluently with AI platforms and treat model output as a draft requiring validation
  • Translate a recurring manual process into a documented, repeatable, automated workflow
  • Read, adapt, and troubleshoot workflow logic, conditional rules, and platform integrations
  • Manage a heavy workload, competing priorities, and multiple tasks effectively under tight deadlines
  • Document work clearly enough that another analyst can reproduce, maintain, or audit it
  • Handle confidential client and firm information with discretion and in accordance with firm policy
  • Demonstrate excellent written, oral, presentation, and technology skills
  • Analyze problems and develop effective solutions
  • Exercise sound judgment and work independently with minimal supervision in a remote setting
  • Work collaboratively with attorneys, paralegals, professional staff, and technology teams
  • Develop other skills and competencies as required

EDUCATION/EXPERIENCE:

  • A professional or graduate-level degree, or an equivalent combination of education, training, and experience, is required. Preference for a degree in information science, information management, data analytics, or a related field.
  • Experience in information services, knowledge services, practice technology, or a comparable function in a law firm, corporate legal department, or professional services environment is required
  • Demonstrated proficiency with legal and business information platforms is required
  • Hands-on experience with AI platforms, including prompt design and model-based workflow construction, is required
  • Experience with SharePoint site administration or information architecture preferred.
  • Experience building automations in low-code or no-code workflow tooling, such as Microsoft Power Automate or comparable platforms, is required
  • Experience with process mapping, workflow documentation, and process measurement is required
  • Experience with document management systems and request tracking or ticketing systems is preferred

This position is subject to export control laws.
