Original job description
Womble Bond Dickinson (US) LLP is seeking a Practice Development Coordinator to join their team in Baltimore, Maryland. The Practice Development Coordinator supports the Legal Operations Manager in running the business and administrative functions at Womble Bond Dickinson (US) LLP, including the local counsel opinion practice and the equipment finance book of business. The Coordinator frees the Legal Operations Manager to focus on strategic work by taking on a broad share of the practice's day-to-day operations, billing support, client development, and data analysis.
The role combines operational support (billing and collections, matter intake and conflicts, waiver requests, bank client reporting) with practice development work (analyzing practice data, preparing reports and presentations, supporting client events, and documenting processes). The ideal candidate is highly organized, service-oriented, and comfortable with technology, including AI tools such as Microsoft Copilot and Claude, in a fast-paced environment that values initiative and sound judgment.
This position is not a standard business hours role. The pace of the practice requires proactiveness and responsiveness beyond traditional hours at times, and the Coordinator is expected to step in wherever needed to keep matters moving.
RESPONSIBILITIES:
- Assist with the monthly billing cycle, including pre-bills, tracking collections, following up on outstanding receivables, and confirming wires for the local counsel opinion practice. Maintain client-specific billing trackers and reporting tools.
- Coordinate and prepare billing and compliance reports requested by bank clients, ensuring accuracy and timely return.
- Support matter intake and conflicts processing, engagement letter preparation, and waiver requests for local counsel opinion matters, coordinating with referring counsel and the firm's General Counsel's office.
- Analyze practice data to identify target markets, referral sources, geographic opportunities, and emerging trends. Prepare reports, dashboards, and presentations for the supervising partner and the Legal Operations Manager, and evaluate the results of practice development efforts to improve future initiatives.
- Support client development activities, including planning and executing virtual client events (invitations, logistics, content, and follow-up), and coordinating meals, entertainment, and logistics for business travel and industry events such as ELFA.
- Draft and send routine correspondence with referring counsel and clients, and track follow-up on open items.
- Assist with the practice's recruiting process by coordinating with the firm's Recruiting team on scheduling, candidate materials, and follow-up.
- Develop and maintain training materials, process documentation, and operational playbooks for the practice. Identify and help implement technology solutions, including Microsoft Copilot and Claude, to streamline practice workflows.
- Serve as backup to the Legal Operations Manager, including triaging the supervising partner's inbox, managing calendar requests, drafting communications as delegated, and tracking projects and workflow across the non-attorney practice team.
REQUIREMENTS:
- Bachelor's degree required.
- Minimum of 2 years of experience in a law firm, legal operations, or comparable professional services environment.
- Experience with billing, collections, or financial reporting in a law firm setting preferred.
- Experience supporting attorneys or executives in a fast-paced environment preferred.
- Excellent client service orientation and the ability to interact professionally with attorneys, clients, referring counsel, and firm leadership.
- Strong written and verbal communication skills.
- Highly organized, with the ability to manage multiple projects and competing priorities and meet deadlines.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams); Intapp or a comparable legal billing system preferred.
- Strong analytical skills, with the ability to turn practice data into clear reports and presentations.
- Comfort learning new technologies quickly, with a basic understanding and fundamental usage of AI tools.
- Attention to detail and commitment to accuracy.
- Ability to handle confidential information with discretion.
- Ability to work independently and as part of a team.
- Responsive and available beyond standard business hours as needed.
