Overview

ABOUT THE POSITION

VHB is seeking a dynamic, detail-oriented Billing Analyst to join our New England Regional Finance team. In this role, you will play a key part in supporting the billing and financial administration of our engineering projects, helping ensure accurate, timely invoicing and strong project financial performance.

This hybrid position is ideally based in one of our Northern New England offices: Winooski, Vermont; Bedford, New Hampshire; or South Portland, Maine. We may also consider candidates interested in a hybrid arrangement from another VHB office in New England.

Responsibilities

  • Prepare, review, and process client invoices in accordance with contract terms, client requirements, and internal billing deadlines.
  • Manage recurring billing cycles, including invoice revisions, credit/rebill activity, and billing corrections.
  • Support project setup and budgeting by reviewing contract compensation, billing methods, and project financial requirements.
  • Maintain accurate project financial records and billing support documentation, including timesheets, expense reports, subconsultant invoices, and other client-required materials.
  • Coordinate accounts payable activities with subconsultants and vendors, including logging, reviewing, coding, and reconciling invoices.
  • Research and resolve client questions and discrepancies related to project billing, subconsultant invoicing, payments, and account balances.
  • Monitor accounts receivable aging reports and follow up on outstanding invoices in coordination with Project Managers and Finance leadership.
  • Apply payments, reconcile unapplied cash, and assist with account reconciliations, credit memos, and billing adjustments.
  • Partner with Project Managers and other internal stakeholders to resolve billing disputes and remove barriers to collection.
  • Prepare routine billing, AR aging, and trend analyses to support leadership review and project financial decision-making.
  • Identify opportunities to improve billing processes, documentation, and reporting accuracy.
  • Support the Finance team and Project Managers with additional finance- and contract-related tasks, including tracking general office expenses as needed.

Skills and Attributes

  • Strong organizational skills with demonstrated ability to prioritize work, manage multiple deadlines, and coordinate across several projects simultaneously.
  • Strong attention to detail and commitment to producing accurate, high-quality work.
  • Exceptional problem-solving, critical-thinking, customer-service, and follow-through skills.
  • Strong interpersonal and communication skills, with the ability to communicate clearly and professionally both verbally and in writing.
  • Ability to work independently, take ownership of routine-to-moderately complex billing and receivables responsibilities, and proactively pursue solutions.
  • Comfortable collaborating with Project Managers, clients, subconsultants, vendors, and internal Finance partners.
  • Adaptable and eager to learn new systems, processes, assignments, and business needs.
  • Strong Excel skills, including experience with formulas, VLOOKUP/XLOOKUP functions, PivotTables, and data analysis.

Qualifications

  • Associate’s degree in Accounting, Finance, Business, Management, or a related field; bachelor's degree preferred.
  • 0–4 years of experience in billing, accounts receivable, collections, accounting, finance operations, or a related field.
  • Experience in a professional services, engineering, architecture, construction, or project-based environment preferred.
  • Experience with an ERP or accounting system required; familiarity with Deltek Vision or Vantagepoint is strongly preferred.

The hourly pay range for this position is $27.00 to $34.50 if located in Winooski, Vermont, $30.00 to $38.00 if located in Bedford, New Hampshire, and $27.00 to $34.50 if located in South Portland, Maine. The actual hourly rate offered will be determined based on job-related factors, including geographic location, internal equity, experience, credentials, skills, education, work schedule, and other factors permitted by law.
