Original job description
Commercial Property Manager / Portfolio Manager Fort Wayne, IN
About the Opportunity:
A well-established, family-owned commercial real estate firm in Fort Wayne is hiring a Commercial Property Manager to lead its commercial property portfolio. The portfolio is mostly full-service office space, plus retail properties with some full-service medical tenants.
The company has grown from mostly third-party management into an owner-operator that now owns more than half of the portfolio it manages, so the person in this role will have real decision-making authority.
This is a hands-on leadership role with a lot of autonomy. The right person can take ownership of the portfolio and shape how it runs. You'll have a dedicated customer service, administrative, and accounting team behind you, so your time goes to operations, relationships, and leadership instead of paperwork.
What You'll Do:
Property Operations & Asset Management
- Run day-to-day operations for a portfolio of commercial office, retail, and medical properties
- Supervise preventive and reactive maintenance across the portfolio
- Inspect properties regularly so buildings, grounds, and systems stay safe, clean, and professional
- Develop operating procedures and strategies that improve efficiency, control expenses, and increase asset value
- Spot operational issues and recommend solutions that fit ownership's goals
- Ensure compliance with federal, state, and local regulations, lease requirements, and company policies
- Help lead upcoming property projects
Financial Management & Reporting
- Work with the internal accounting team on operating budgets, forecasts, and capital plans
- Oversee rent collection, accounts receivable follow-up, and expense management
- Understand and manage Common Area Maintenance (CAM) and operating expense recoveries under different lease structures
- Review financial reports, identify variances, and take corrective action
- Provide clear, timely reports and updates to leadership
Tenant Relations & Lease Administration
- Build strong, professional relationships with tenants and serve as the main relationship manager across the portfolio
- Respond quickly and effectively to tenant requests and concerns
- Oversee lease administration and track lease obligations
- Communicate property updates and maintenance activities clearly
- Support tenant satisfaction and retention
Vendor Management & Contracts
- Negotiate, approve, and manage vendor and contractor agreements
- Coordinate maintenance, repairs, inspections, and capital improvement work
- Monitor vendor performance, quality, cost, and contract compliance
Leadership
- Lead and delegate to an administrative and customer service team
- Help shape the structure and titles of the support team
- Work closely with ownership, accounting, and facilities maintenance staff
- Use sound judgment to handle challenges independently and keep competing priorities moving
What We're Looking For:
Required
- 5+ years of experience in commercial property management, corporate facilities management, or a closely related commercial real estate role (landlord or tenant side)
- Strong understanding of commercial leases, legal documents, and how CAM and operating expense recoveries work
- Experience with budgets, expense monitoring, financial reporting, and receivables
- Proven ability to lead, delegate to, and motivate a team
- Sound judgment, strong business sense, and emotional intelligence
- Excellent written and verbal communication skills, with professional composure in difficult situations
- Ability to manage multiple properties and time-sensitive priorities
- Proficiency in Microsoft Office, especially Excel, and willingness to learn property management software
- Valid driver's license and a driving record that meets company auto insurance requirements
Preferred
- 7+ years of commercial property management experience, including oversight of multiple properties or a diverse portfolio
- Full-service office property experience
- CPM (Certified Property Manager) or CFM (Certified Facility Manager) designation, or involvement in industry organizations such as SIOR
- Real estate or broker license
- Bachelor's degree in business, real estate, finance, or a related field
- Experience managing vendor contracts and supervising staff
**Residential or multifamily-only experience is generally not a fit.
Work Environment
- On-site at the company's headquarters in Fort Wayne
- Standard hours are generally 8:00 a.m. to 5:00 p.m., Monday through Friday
- Regular local travel to properties in the portfolio, supported by a car allowance
- After-hours issues come up occasionally and are shared with building engineers and other support staff
Benefits & Perks
- Three weeks of vacation to start, plus paid holidays
- 401(k) with a 4% company match, 100% vested on day one
- Medical, dental, vision, and HSA
- Life insurance, short- and long-term disability, and accident and illness coverage
- Car allowance
