Job Title: Field Service Coordinator
Job Description:
Trystar is at the forefront of advancing power solutions, supported by a team committed to safety, integrity, and customer success. We provide power solutions and technical services for data centers, utilities, industrial facilities, healthcare, commercial, and institutional customers. Reporting to the FSM, the Field Service Coordinator administers approved schedules, logistics, procurement support and job records. The role connects customers, technicians, suppliers and internal teams from intake through closeout and billing, maintains reliable information, and escalates missing prerequisites and competing priorities. We are looking for people who believe in our guiding principles and values of:
- Safety: We believe everyone should leave Trystar facilities in the same or better condition than when they arrived.
- Integrity: We’re honest, transparent, and committed to doing what’s right.
- Customer focus: We have relentless focus on our customers and their success.
- Right with speed: We use good judgement, make thoughtful decisions quickly, and execute them with purpose and intensity.
- Play for each other: We’re a team. We show up for each other and we know that through teamwork we achieve greatness.
- Champion change: We know adaptation and improvement are requirements to survive and to thrive.
- Enjoy the journey: We create an environment where our team feels appreciated and has fun along the way.
In this role you will get to:
- Receive and record service requests and route technical, commercial, and priority decisions to the assigned owners. Create work orders from accepted scope, purchase orders, or internal authorization.
- Maintain the shared schedule, technician availability, approved on-call roster, job milestones and mobilization details. Publish FSM-approved assignments, support the 12-week capacity plan and weekly scorecard, and communicate changes.
- Own accurate logistics bookings and records for approved travel, lodging, vehicles, site access, inductions, appointments, shipping and rentals. Track regional and cross-border prerequisites with HR and the FSM.
- Source and procure approved breakers, relays, metering equipment, components, and associated hardware using released specifications. Coordinate configuration requirements with qualified Engineering or original equipment manufacturer (OEM) support.
- Track inventory, tooling, test equipment, rental status, parts commitments, returns, and job allocations with Supply Chain. Flag shortages and overdue commitments before they affect delivery.
- Maintain calibration, inspection, certification, and training expiry records. Coordinate approved testing, calibration, servicing, training bookings, and replacement arrangements.
- Assemble mobilization records, safety documentation, controlled drawings, permits, service reports, and turnover packages. Track missing records and obtain technical verification from the responsible Lead.
- Check timesheets, expenses, material records, receipts, and job coding for completeness. Obtain Lead verification and FSM approval, then provide approved billing-support records to Finance.
- Communicate approved arrival windows, booking changes and administrative follow-ups to customers, suppliers, utilities and contractors. Route field progress, technical constraints and delivery commitments through the named delivery Lead and FSM.
- Maintain asset, service-history, warranty and work-order data. Track closeout, acknowledgements, returns and administrative actions; route technical open items to the Lead and asset or next-service handoffs to Business Development (BD) or the account owner.
- Support BD quotation preparation with historical hours, logistics, material availability and documents. Use approved service systems and provide workflow, adoption and data-quality feedback to the FSM and digitalization team.
- Support consistent execution and continuous improvement of Service processes, workflows, and documentation to drive greater efficiency and standardization.
- Support Service system and process development, integration, implementation, and adoption while maintaining strong process discipline and data quality. Assist with user testing, documentation, training and change adoption for new or revised systems and workflows.
Role authority and working relationships:
- Make bookings, issue approved work records, and place approved purchases within assigned workflow and purchasing permissions. The FSM approves dispatch priorities, staffing, spend, and delivery commitments.
- The FS Lead directs field work and validates technical readiness and records. Leads and technicians do not report through the Coordinator; recordkeeping does not grant technical approval authority.
- Escalate missing prerequisites, schedule conflicts, and customer concerns. Engineering configurations, safety authorizations, quotation release, and changed scope require the designated approval.
- Quality Assurance and Quality Control (QAQC) owns factory acceptance testing (FAT). Arrange approved resources and records only on a QAQC request accepted by the FSM; QAQC retains technical control.
Qualifications:
- Three or more years of field service, dispatch, technical project coordination, or comparable experience; an equivalent combination of relevant education and practical experience may be considered.
- Strong scheduling, logistics, document control, purchasing-support, and job-record skills, with the ability to reconcile changing dates and incomplete information.
- Clear customer communication, sound organization, attention to detail, and the ability to manage several active jobs and follow through on commitments.
- Proficiency with Microsoft Office and service management, ERP, CRM, scheduling, or document systems. Ability to learn electrical equipment terminology and route technical requirements accurately.
- Authorization to work in the employing jurisdiction. Any travel, site access, and driving requirements are defined for the assigned regional position.
Preferred skills:
- Background in electrical trades, engineering technology, industrial or utility services, operations, or project coordination.
- Experience with switchgear, protection and control, power systems, commissioning records, calibration tracking, warranty administration, or customer service lifecycle management.
Expected outputs and success measures:
Outputs: Current schedules, on-call and travel records; complete work orders and controlled job files; calibration and certification alerts; and reconciled purchasing, time, expense, and billing-support packages. Success: Schedule and record accuracy, booking reliability, mobilization completeness, timely customer updates, prompt administrative follow-up, and complete billing packages, assessed against controllable coordination activities.
Additional Information:
- The role is primarily office-based with site visits and occasional travel as agreed. Working hours, escalation coverage, compensation, benefits, and regional requirements are defined through HR and the applicable position terms.
