About Us
At 3D Exhibits, we create immersive trade show experiences that bring brands to life. We design, build, and manage innovative exhibits to captivate audiences and maximize ROI. Our mission is to connect brands with customers and drive brand growth.
Summary
3D Exhibits is seeking a detail-oriented Graphics Coordinator to manage the full lifecycle of graphics for our custom exhibit and event projects. From reviewing client artwork and producing proofs to ordering from vendors, checking in graphics, and supporting installs at the show site, you’ll make sure every graphic arrives on time and looks right. You’ll work closely with Project Managers, Account Teams, Foremen, and vendors, and you’ll help out in our in-house print shop when needed. This position will be full time on site based out of our Las Vegas location.
Essential Duties & Responsibilities
- Review client artwork within two days (sooner for rush projects) for missing fonts, linked images, resolution, bleed, sizing, and brand color issues
- Follow up with clients on past-due artwork
- Verify graphic sizing against CAD drawings and create PDF proofs with elevations, isometric views, and callouts
- Send proofs to the PM and Account Team for approval and file them in the correct team drive folders
- Preflight and package print-ready artwork, including embedded images, outlined fonts, panel breaks, cut lines, and vinyl install details
- Create and update purchase orders for graphics and save copies to the team drive
- Place vendor orders using email templates, with artwork, proofs, PO numbers, timelines, and install timing
- Review and approve vendor proofs and photos before shipping
- Track orders in the Graphics Schedule and make sure graphics arrive by the Contract Stage Date
- Check in received graphics, photograph them, and notify the PM and Foreman
- Document and resolve damaged or incorrect graphics with vendors and the project team
- Verify graphic installations at completion
- Participate in Put to Work, Production, and Graphics Team meetings, suggesting alternative production methods and vendor options
- Print and finish small or rush jobs in-house (dots, crate labels, internal graphics, small vinyl installs), and help maintain equipment and inventory
- Maintain proof and email templates, vendor contacts, and client brand guides, and archive finished jobs to the Graphics Server
- Be available on weekends and after hours during show site installs, with backup coverage arranged when out
Education & Experience
Required
- 2–3 years in a graphics, prepress, production coordination, or print/large-format environment (exhibit, event, signage, or experiential experience is a strong plus)
- Proficiency in Adobe Illustrator, Photoshop, and Acrobat, including preflighting, outlining fonts, managing links, and setting up bleeds and cut lines
- Working knowledge of large-format print specifications, file resolution, and color management (PMS/brand color matching)
- Ability to read CAD drawings and elevations and check graphic dimensions against them
- Strong attention to detail and organization, with the ability to manage multiple deadlines at once
- Clear written and verbal communication with clients, vendors, and internal teams
- Comfort creating and tracking purchase orders and working from schedules
- Availability for occasional weekend and after-hours work during installs
Preferred
- Experience with trade show exhibits, fabrication, or event production workflows
- Familiarity with large-format printers, cutters, and vinyl application
- Experience with project management or ERP/PO systems
- Basic understanding of fabric, vinyl, and rigid substrate printing methods
- Associate’s or bachelor’s degree in graphic design, print production, or a related field (or equivalent experience)
