Administrative Assistant II Hematology/Oncology ClinicJob DescriptionThis Administrative Assistant II role provides critical support to a busy hematology/oncology clinic by removing administrative tasks from nurses and physicians so they can focus on direct patient care. Working on-site in Washington, DC, you will manage provider calendars, coordinate patient appointments, handle high-volume phone calls, and offer compassionate support to patients and clinical staff. This position operates Monday through Friday, 8:30 a.m. to 5:00 p.m., and requires strong administrative, customer service, and healthcare support skills in a fast-paced, multidisciplinary environment.Responsibilities

  • Support daily operations of the hematology/oncology clinic by handling a wide range of administrative tasks for nurses and physicians.
  • Manage physicians calendars, focusing primarily on patient-related scheduling, appointment coordination, and follow-up.
  • Schedule patient appointments and ensure patients receive timely attention, information, and support throughout their care journey.
  • Answer a high volume of incoming calls, including calls specifically for assigned physicians and calls from a rotating phone line that any patient may use, responding professionally regardless of which provider the patient is calling about.
  • Provide courteous, empathetic, and professional customer service to patients and physicians, maintaining a positive attitude in all interactions.
  • Interact directly with patients, including those who may be sick or distressed, and work through their concerns independently rather than escalating immediately to a manager.
  • Collaborate closely with a team of approximately nine other administrative assistants, collectively supporting three to four doctors per person.
  • Work in multiple computer systems, including electronic medical record platforms, to manage scheduling, documentation, and communication.
  • Assist with insurance-related tasks by dabbling in insurance matters and coordinating with clinic staff who handle detailed verification and authorization.
  • Support multidisciplinary teams by communicating effectively with providers, patients, and other clinic staff to ensure smooth operations.
  • Organize and prioritize multiple tasks and requests in a fast-paced environment, maintaining accuracy and attention to detail.
  • Maintain confidentiality and professionalism in handling patient information and clinical communications.
  • Demonstrate leadership potential within the administrative team, taking initiative to solve problems and build a strong professional reputation.

Essential Skills

  • Previous experience in an administrative assistant or similar administrative role, preferably in a healthcare or medical office setting.
  • Strong understanding of insurance concepts and processes, with the ability to support basic insurance-related tasks.
  • Computer proficiency and comfort working in multiple systems, including electronic medical record platforms such as Epic.
  • Knowledge of healthcare terminology and clinical operations sufficient to support providers and patients effectively.
  • Demonstrated experience in customer service, with the ability to communicate clearly and professionally with patients, physicians, and multidisciplinary teams.
  • Excellent organizational skills, with the ability to manage multiple priorities and tasks in a fast-paced environment.
  • Strong multitasking abilities, particularly in managing phone systems and handling multiple calls and requests simultaneously.
  • Ability to work independently to resolve patient issues without relying solely on management intervention.
  • Capacity to interact empathetically with sick patients, remain calm and professional when patients are having a difficult day, and not take challenging interactions personally.
  • Team-oriented mindset, with experience collaborating closely with other administrative assistants and clinical staff.
  • Professional demeanor and customer service attitude in all patient and physician interactions.
  • Bachelors degree highly preferred, but not required.

Additional Skills and Qualifications

  • Previous healthcare or medical office experience is preferred and will help in understanding clinical workflows.
  • Experience providing healthcare support in a clinic setting, particularly in oncology or specialty care, is an advantage.
  • Familiarity with scheduling processes and tools, including managing complex provider calendars and patient appointments.
  • Experience with email communication in a professional environment, including timely and accurate responses to patients and providers.
  • Ability to work with multidisciplinary teams and support clinical operations through clear communication and coordination.
  • Strong problem-solving skills, with the ability to identify issues and work through them directly with patients and staff.
  • Leadership potential, with an interest in taking initiative and building a strong professional profile within the organization.
  • Education reimbursement opportunities can be leveraged by candidates interested in furthering their education while working.
  • Room to grow within the organization, with prior team members having been promoted into advanced roles.
  • Comfort working in an environment that supports one of the top hospital and healthcare operations in the region.
