The role Spektrix has an exciting opportunity for a User Events Program Manager to join our team!
In this role, you'll plan and deliver Spektrix’s program of small-group, in-person activation events for client power users across the US, Canada, the UK, and Ireland. You'll manage each event from planning through follow-up, including venue selection, vendor and catering arrangements, event communications, agenda coordination, rehearsals, and post-event reporting. You'll coordinate the contributions of Delivery Teams, Client Success Management (CSM), Strategy & Operations (S&O), and content creators, so that events run consistently and with minimal operational effort for client-facing teams.
Ultimately, the success of this role is achieved through the delivery of well-run events that lead to hands-on engagement, product adoption, and activation of key features for attending clients.
What You'll Do
- Calendar & Milestone Ownership: Lead the cross-functional delivery roadmap across Client Success, Delivery, Strategy & Operations, Enablement, and Community to keep teams aligned and on schedule.
- Resource & Capacity Planning: Negotiate and lock in staffing commitments with managers, mitigating risks, resolving bottlenecks, and escalating resource conflicts when necessary.
- Scalable Playbooks: Develop standardized templates, milestones, and planning workflows to streamline prep, eliminate duplicate work, and guarantee consistent delivery.
- End-to-End Production: Oversee venue selection, catering, AV, accessibility, and budgets (including staff travel), balancing world-class experience with fiscal discipline.
- Agenda & Session Design: Gather regional input to tailor agendas, blending hands-on workshops with short presentations; run facilitator prep, dry runs, and readiness checks.
- Impact & Sentiment Reporting: Design post-event surveys and partner with S&O, CSMs, and Delivery to measure sentiment, event ROI, and product/feature activation.
- Iterative Optimization: Lead debriefs to translate attendee data and team observations into actionable process, content, and logistics improvements for leadership.
- Attendee Lifecycle: Manage invites, registrations, reminders, prerequisites, and attendance rates using community platforms and internal tools (Odie).
- Compelling Messaging: Write high-impact event copy and collateral that set expectations, communicate value, and ensure participants arrive prepared.
- Post-Event Handoff & Advocacy: Capture feedback, photos, quotes, and activation data to support marketing campaigns and equip Relationship Managers for follow-up.
- On-Site Execution: Travel to key events to manage logistics, maintain brand standards, and evaluate participant experience.
What You Bring
- At least three (3) years’ experience planning and delivering in-person events, including logistics, suppliers, attendee communications, and post-event follow-up
- Experience shaping learning or user enablement experiences, with the ability to assess event agendas, session flow, presenter readiness, and the quality of the attendee experience
- Strong project or program management skills, including managing concurrent events, tracking dependencies, and coordinating a large number of contributors across teams
- Ability to influence colleagues and managers without direct reporting authority, agree realistic commitments, and hold contributors accountable while maintaining effective working relationships
- Experience selecting venues, coordinating catering and travel, managing vendor relationships, and monitoring costs against an agreed budget
- Excellent written and verbal communication skills, including the ability to write clear promotional and instructional copy and lead productive planning meetings
- Strong organizational skills and attention to detail, with consistent follow-through and the ability to anticipate issues, solve problems, and adapt plans as circumstances change
- Ability to use attendance data, user feedback, and outcome measures to identify improvements and explain the effectiveness of an event or program
- Strong technical aptitude and confidence using project management tools, spreadsheets, communication platforms, and other web-based applications, with the ability to learn new systems quickly
- Sound judgment in balancing quality, cost, workload, and deadlines, including knowing when to make a decision and when to escalate an issue
- A collaborative approach, openness to feedback, and willingness to take responsibility for mistakes and follow through on their resolution
- Ability and willingness to work with colleagues across time zones, and travel periodically within the US and internationally to support selected events
