Position Description
The Facilities Standards & Reliability Coordinator supports the Facilities Manager in maintaining a safe, organized, and reliable facility. The role has two distinct halves: administering departmental facility-standard and 5S audits across the building, and coordinating the development and ongoing execution of the company's electrical maintenance program.
The accountability model matters here. Department managers remain responsible for maintaining their own areas; this position provides independent verification and follow-through. It documents what it finds, coordinates corrective action with the department owner, confirms closure in the field, and escalates what does not get resolved. Its influence comes from consistency and credibility rather than from authority over the areas it audits.
On the reliability side, the role is the administrative and coordinating backbone of the electrical maintenance program - building and maintaining the equipment inventory and records, scheduling assessments and maintenance with internal personnel and outside contractors, and tracking deficiencies through to documented closure. Hands-on work is performed only within documented training, qualification, and authorization.
Job Responsibilities
Facility Standards & 5S Audits
- Establish and maintain a recurring audit schedule covering production cells, shared spaces, storage areas, and other designated locations.
- Evaluate housekeeping, material staging, designated storage, aisle access, visual controls, spill-management readiness, and adherence to approved area standards.
- Apply area-specific expectations consistently across different building environments.
- Record findings with clear descriptions, photographs, responsible owners, and completion dates.
- Verify corrective actions in the field before closing findings.
Electrical Maintenance Program
- Complete company-provided NFPA 70B training and support development of the written electrical maintenance program.
- Build and maintain an electrical equipment inventory, asset records, maintenance history, and supporting documentation.
- Coordinate with the Facilities Manager and qualified electrical service providers to establish equipment assessments, maintenance tasks, and schedules.
- Build approved preventive-maintenance activities into MaintainX.
- Schedule inspections, testing, and maintenance with internal personnel and outside contractors.
- Track deficiencies through corrective action and retain service reports and completion records.
- Perform approved inspections and maintenance activities within documented training, qualifications, and authorization.
Reporting & Escalation
- Document deficiencies, coordinate corrective actions with department owners, and verify closure.
- Escalate unresolved conditions, repeat findings, and immediate hazards to the Facilities Manager.
- Maintain program records and provide regular updates on overdue work, unresolved deficiencies, and program progress.
Coaching & Continuous Improvement
- Coach employees and department leaders on standards expectations and help sustain improvements after a finding is closed.
- Track recurring issues and recommend improvements to standards, layouts, or work practices rather than re-auditing the same condition indefinitely.
Decision Authority
- Authority to conduct audits across departments using approved facility standards, and to set the audit schedule and coverage.
- Authority to document a deficiency, assign it to a responsible owner with a completion date, and determine whether a corrective action is verified and closed.
- Authority to escalate unresolved conditions, repeat findings, and immediate hazards directly to the Facilities Manager.
- No authority over department areas, personnel, or priorities - department managers remain responsible for maintaining their areas; this role provides verification and follow-through.
- No authority to perform electrical inspection or maintenance work outside documented training, qualification, and authorization.
- Changes to approved facility standards, area expectations, or the written electrical maintenance program are recommended by this role and approved by the Facilities Manager.
Critical Results
- Audit schedule executed on cadence with full coverage - no designated area going unaudited.
- Findings documented clearly with owner, photograph, and due date, and verified closed in the field rather than on paper.
- Repeat findings declining, with recurring conditions driven into standards, layout, or work-practice changes rather than re-audited indefinitely.
- Standards applied consistently across every building environment, so an area is judged against the same bar regardless of who audits it.
- Written electrical maintenance program developed and maintained in line with NFPA 70B.
- Electrical equipment inventory, asset records, and maintenance history complete, current, and retrievable.
- Approved electrical preventive maintenance built into MaintainX and executing on schedule, with overdue work visible and shrinking.
- Immediate hazards escalated the day they are found; no known hazardous condition left unreported.
Job Qualifications
Required
- Experience in manufacturing, facilities, maintenance coordination, quality inspection, or continuous improvement.
- Familiarity with 5S, audits, preventive maintenance, and corrective-action tracking.
- Strong documentation and follow-through skills.
- Ability to communicate findings across departments and hold people accountable respectfully.
- Sound judgment in distinguishing an immediate hazard from a routine finding.
- Willingness and ability to complete company-provided NFPA 70B training after hire.
- High school diploma or equivalent.
Preferred
- Basic electrical equipment knowledge.
- MaintainX or another computerized maintenance management system (CMMS) experience.
- Formal 5S, lean, or continuous improvement training.
- Internal audit experience in a manufacturing environment.
- Experience coordinating outside contractors and service providers.
An electrician's license is not required for this position.
Key Competencies
- Industrial familiarity - understands how a manufacturing floor actually works and what a standard is protecting.
- Organization - manages a recurring schedule, an open-findings list, and a records system without losing items.
- Sound judgment - distinguishes what must be escalated now from what belongs in the normal corrective-action cycle.
- Respectful accountability - holds a standard with people who do not report to this role, without damaging the working relationship.
- Follow-through - closes the loop in the field, not in the spreadsheet.
Physical Requirements and Work Environment
- Regularly walks the facility, including production cells, storage areas, mechanical and electrical rooms, and shared spaces.
- Frequently stands, walks, bends, kneels, reaches, and climbs ladders or stairs while conducting audits and inspections.
- Occasionally lifts and carries up to 25 lbs.
- Works in a manufacturing environment with exposure to noise, temperature variation, coolant and lubricants, electrical hazards, and moving equipment.
- Required PPE includes safety glasses and hearing protection in designated areas, plus task-specific protection as required.
- Requires use of a camera or mobile device to document findings and a CMMS to maintain records.
Additional Information
