Original job description

The San Francisco Museum of Modern Art is one of the largest museums of modern and contemporary art in the United States and a thriving cultural center for the Bay Area. We cannot imagine life without art; it inspires and connects us every day. Now more than ever, these connections matter and are aligned with our values.

Inclusive: We strive to be a museum of many voices in dialogue.

Passionate: We believe working with art is more than a job or trusteeship - it's a way of life.

Brave: We are committed to approaching our work with courage and a sense of adventure, always ready to explore new perspectives.

Empathic: We aim to act like a person, not an institution.

SFMOMA is a place for the infinitely curious to explore, support, and experience the art of our time. We believe that modern and contemporary art can influence the way we think, view the world, and embrace the many voices and perspectives around us. We aspire to foster an environment that elicits joy, nurtures a sense of belonging and purpose - where difference is seen as a strength, and every one is appreciated for their whole self.

Schedule: Full Time, 35 hours/week, Temporary (6 months), at least three days working on site per week

The temporary Philanthropy Program Associate provides administrative and operational support to SFMOMA’s Philanthropy department during a staff leave, working closely with the Director of Strategic Philanthropy and Operations (DSPO) and the Program Manager (PM).

The role supports key department initiatives, including Trustee Giving and Board and committee activities; maintains accurate donor and Trustee records in Tessitura; and serves as a key point of contact for the department. Working in close collaboration with colleagues across the museum, as well as Trustees, donors, and external partners, the Associate helps sustain a Philanthropy program that builds meaningful, long-term relationships with museum supporters and advances the museum’s fundraising goals.

  • Provide administrative support to the Director of Strategic Philanthropy and Operations and the Program Manager, including calendar management, meeting coordination, and expense reports.
  • Provide administrative support for the Development Committee and Committee on Trustees, including scheduling meetings, drafting agendas, gathering RSVPs, ordering catering, and taking minutes.

  • Maintain Philanthropy staff resources, including organizational charts and staff lookbooks.
  • Liaise with the Director’s Office to support Board meetings, including staffing meetings, drafting Trustee communications, assisting with slide presentations and talking points, and coordinating pre-read materials.
  • Maintain donor and prospect records in Tessitura, the museum’s constituent database, including tracking prospect cultivation, pulling data, preparing reports, and working cross-functionally to ensure data integrity.
  • Assist with prospect research, including preparing donor profiles, bios, and lookbooks and conducting wealth research.
  • Coordinate the Annual Donor Listing in the Museum’s magazine, a cross-departmental initiative.
  • Perform other tasks and special projects as assigned.

Qualifications & Skills

  • Minimum of two (2) years of administrative support experience, preferably working in a Philanthropy program.
  • Ability to handle many projects with overlapping deadlines at once.
  • Excellent time management.
  • Strong attention to detail and excellent writing and communication skills.
