Client Support Specialist – Onboarding & Care Coordination

Self Care Counseling is seeking a compassionate, organized, and dependable Client Support Specialist to help new clients get connected to care. This position focuses on onboarding calls, care coordination, and administrative support.

As one of the first people clients speak with, you will help them feel welcome, understand the process, and complete the steps needed to begin services. This role requires someone who enjoys helping people, communicates clearly, and follows through on details.

In this role, you will:

  • Conduct onboarding calls with new clients and parents or guardians to explain services, assist with required paperwork, and prepare them for their first appointment.
  • Gather and confirm client information, including contact details, insurance information, and scheduling preferences.
  • Schedule intake appointments and coordinate with administrative staff and clinical leadership to connect clients with appropriate services.
  • Follow up on incomplete paperwork, unanswered inquiries, and other outstanding onboarding steps.
  • Help clients navigate practical barriers to care, such as scheduling difficulties, technology concerns, or questions about accessing services.
  • Support care coordination by assisting with referrals, community resources, authorized records requests, and communication with other providers.
  • Maintain accurate, timely documentation of calls, follow-up efforts, and coordination activities in the electronic health record.
  • Answer calls and messages, assist with scheduling, and provide additional administrative support as needed.
  • Protect client confidentiality and follow established procedures for referring clinical questions or urgent concerns to the appropriate team member.

You may be a good fit if you:

  • Communicate with warmth, patience, and professionalism.
  • Feel comfortable speaking with people who may be overwhelmed or unfamiliar with mental health services.
  • Can manage multiple tasks while keeping track of details and deadlines.
  • Take initiative, follow through, and ask for guidance when needed.
  • Work well independently and as part of a team.
  • Are comfortable learning electronic health records, Microsoft 365, and other office technology.

Work Location & Training

Initial training will take place at our Loveland, Ohio office. Beginning around March or April 2027, this position will work onsite at both our Loveland, Ohio and Greendale, Indiana locations. Candidates must be available to work at both offices.

Experience in healthcare, behavioral health, client services, care coordination, or administrative support is preferred. Familiarity with insurance terminology and community resources is helpful.

At Self Care Counseling, our mission is to empower clients to make valuable changes in their lives by learning how to prioritize themselves. This position supports that mission by making the first steps into care welcoming, organized, and easier to navigate.

Self-care is not selfish. It is essential.
