About Us:

Welcome to RTS Labs. We are a premier AI, Data, and Software consulting firm partnering with high-growth startups and enterprise brands to build tech that moves the needle. We operate with a fast-paced, startup-style energy where fresh thinking is rewarded, bureaucracy is non-existent, and complex engineering puzzles are solved every day.

We don't just talk about having a great culture, we have the hardware to prove it. RTS Labs was officially named a Great Place to Work 2026, took home the Innovator Award (the "New Ideas" specialty award) at the Top Workplaces ceremony, and ranks proudly among the Top Workplaces in Virginia.

If you're someone who thrives on bringing order to complexity, keeping teams moving, and turning ambitious ideas into real results, you might be exactly who we're looking for.

The Role:

As a Project Coordinator at RTS Labs, you'll play a critical role in keeping our AI, Data, and Software projects moving forward. You'll work directly with clients, engineers, and leadership to turn business needs into actionable plans, keep teams aligned, and ensure we're delivering work that makes an impact.

This isn't a role where you're simply checking boxes, updating spreadsheets, or scheduling meetings. We need someone who takes ownership, anticipates challenges, and knows how to keep complex projects on track without slowing everyone down with unnecessary process.

You'll balance multiple priorities, navigate changing client requirements, and help our technical teams stay focused on what matters most: delivering high-quality solutions that solve real business problems.

Key Responsibilities:

Project Planning & Execution

• Coordinate multiple technology projects from kickoff through delivery, ensuring timelines, resources, and deliverables stay aligned with client expectations and business objectives.

• Partner with leadership and technical teams to define project scope, objectives, milestones, and success criteria.

• Develop and maintain project plans, proactively identifying dependencies, potential roadblocks, and opportunities to improve execution.

• Keep projects moving forward by adapting to shifting priorities and ensuring teams have the clarity they need to deliver.

Client Communication & Relationship Management

• Serve as a key point of contact for clients, building trusted relationships through proactive communication, transparency, and follow-through.

• Translate client needs into clear, actionable requirements for internal teams, ensuring everyone understands what success looks like.

• Lead project updates and discussions, communicating progress, risks, and tradeoffs in a way that's clear and meaningful.

• Navigate evolving client expectations while maintaining alignment between business goals, technical feasibility, and project commitments.

Team Coordination & Resource Management

• Work closely with software engineers, data teams, and leadership to coordinate resources, priorities, and deliverables across multiple projects.

• Ensure team members have the information, support, and resources needed to execute effectively.

• Identify resource constraints early and collaborate with leadership to address gaps before they impact delivery.

• Foster accountability and collaboration without adding unnecessary meetings, processes, or administrative overhead.

Risk Management & Problem Solving

• Anticipate project risks, dependencies, and potential bottlenecks before they become delivery issues.

• Take initiative to resolve challenges, escalate concerns when appropriate, and keep stakeholders informed.

• Adapt project plans when requirements, timelines, or priorities shift, helping teams stay focused on outcomes.

• Approach obstacles with a solutions-first mindset, balancing client needs with practical delivery realities.

Project Documentation & Reporting

• Maintain accurate project documentation, timelines, budgets, resource plans, and status reports.

• Provide leadership and clients with clear visibility into project progress, key decisions, and upcoming milestones.

• Support the development of proposals, statements of work (SOWs), and project estimates to ensure commitments align with available resources and delivery capabilities.

• Use project management tools and reporting practices that create clarity and accountability without unnecessary complexity.

Continuous Improvement & Operational Impact

• Identify opportunities to streamline project workflows, improve communication, and make delivery more efficient.

• Collaborate with leadership to strengthen project management practices as RTS Labs continues to grow.

• Stay current on project management methodologies, technologies, and tools that help teams work smarter.

• Contribute to a culture of ownership, continuous improvement, and delivering on what we promise.

Required Skills and Experience:

• Understanding of web architecture, software development processes, and modern technologies. You don't need to be a developer, but you should be comfortable working with technical teams and understanding how software projects come together.

• Experience coordinating or managing multiple projects, ideally within software development, IT consulting, or technology services.

• Ability to work directly with clients across different industries, understand their business challenges, and help translate their needs into practical technology solutions.

• Experience supporting proposals, statements of work, project scoping, and resource planning.

• Strong understanding of project management methodologies, tools, and best practices.

• Excellent communication and organizational skills, with the ability to keep clients, technical teams, and leadership aligned.

• Proficiency with project management platforms such as Microsoft Project, Asana, Trello, Jira, or similar tools, along with familiarity with CRM systems.

• Strong problem-solving skills and the ability to manage competing priorities in a fast-paced environment.

• A proactive mindset and the confidence to take ownership, make decisions, and drive progress without constant direction.

Preferred Skills:

• Experience working in Agile or Scrum environments.

• Familiarity with AI, data engineering, software development, or cloud-based solutions.

• Previous experience in a technology consulting or professional services environment.

• Experience with resource management, project budgeting, and delivery forecasting.

• Familiarity with project documentation, reporting tools, and process improvement initiatives.

Who Thrives at RTS Labs?

RTS Labs is built for people who want real ownership, not layers of permission. We're a delivery-first AI, data, and software engineering consultancy. We ship production systems, not slide decks. We don't reward theater, over-process, or long meetings that avoid the actual work. We care about solving hard problems, communicating clearly, and earning trust through execution.

You'll thrive here if:

• You take ownership. You don't wait for someone to tell you what needs attention. You see a gap, identify the next step, and move things forward.

• You bring clarity to chaos. Multiple projects, shifting timelines, and competing priorities don't throw you off. You know how to organize complexity and keep everyone focused.

• You communicate before there's a problem. You keep clients and internal teams informed, surface risks early, and make sure there are no surprises.

• You understand that delivery matters more than process. You value structure and organization, but you know the goal is to get great work out the door, not create more administrative work.

• You're comfortable with ambiguity. Client requirements evolve, priorities change, and not every situation comes with a perfect playbook. You can navigate uncertainty and keep moving.

• You build trust through execution. When you say something will get done, people know they can count on you to follow through.

• You know how to work with technical teams. You don't need to write code, but you can ask the right questions, understand technical constraints, and help bridge the gap between engineers and clients.

• You think ahead. You spot potential resource challenges, timeline risks, and communication gaps early enough to do something about them.

• You care about the details without losing sight of the big picture. You understand that strong project delivery requires both disciplined execution and a clear connection to the client's goals.

This isn't the right place if:

• You need step-by-step direction or a rigid process before taking action.

• You prefer managing tasks and updating trackers over taking responsibility for project outcomes.

• You avoid difficult client conversations or wait until issues escalate before raising concerns.

• You struggle to adapt when project priorities, requirements, or timelines change.

• You believe more meetings and more documentation automatically lead to better project delivery.

It is the right place if:

• You want autonomy, trust, smart teammates, and the opportunity to make a meaningful impact on how projects are delivered.

• You enjoy working directly with clients and technical teams to solve real business problems.

• You take pride in bringing people, priorities, and plans together to deliver work that matters.

Perks & Benefits:

• Continuous Learning: $1,000 towards professional development per year to spend on certifications, courses, or tech conferences of your choice.

• 401(k) Match: We provide a 4% company match after six months to invest in your future.

• Flexible PTO: Take the time you need to recharge. We trust our team.

• Paid Winter Break: We shut down the company every year between December 25th and January 2nd so everyone can fully unplug and spend time with family.

• Family-First Culture: High autonomy, low ego, and zero micromanagement.

RTS Labs is proud to be an Equal Opportunity Employer. We are committed to providing a safe, inclusive, and diverse environment where all people are honored, respected, and celebrated.
