Original job description
We are looking for a highly organized Vendor Maintenance Coordinator to join a detail-focused Services team in Greenwood Village, Colorado. This contract-to-permanent opportunity is suited for someone who can manage vendor records with precision, protect data accuracy, and support compliance within a fast-moving accounts payable environment. The person in this role will help ensure vendor information is complete, properly documented, and maintained to audit-ready standards while partnering with internal teams and external vendors to resolve issues efficiently.
Responsibilities:
- Maintain vendor profiles in the accounts payable system by setting up new records, updating existing information, and verifying that all entries are accurate and complete.
- Review tax and onboarding documentation such as W-9 and W-8 forms to confirm compliance with reporting standards and internal controls.
- Research inconsistencies involving legal names, tax identification details, and supporting records, then resolve discrepancies in a timely manner.
- Track vendor maintenance activity through logs, documentation, and monitoring tools to support reporting needs and audit preparedness.
- Conduct routine quality checks on vendor additions and changes to preserve data integrity across a high-volume vendor population.
- Respond to questions from vendors and internal business partners regarding setup status, required documentation, and verification procedures with care and urgency.
- Process vendor onboarding submissions through designated workflows and apply approved changes once required documentation has been received.
- Review vendor activity regularly, including inactive records, and perform maintenance actions that reduce risk and keep master data current.
- Partner with Accounts Payable, Procurement, and Customer Service teams to address vendor data issues, improve workflows, and support month-end resolution of outstanding items.
- Follow information security policies, participate in required security training, and promptly report system or data protection concerns.
- High school diploma or equivalent required.
- At least 2 years of experience in accounts payable, vendor maintenance, or a similarly high-volume financial operations setting.
- Practical knowledge of W-9, W-8, and 1099 documentation and reporting requirements.
- Strong attention to detail with the ability to manage multiple priorities accurately in a deadline-driven environment.
- Ability to work independently, apply sound judgment, and take ownership of issue resolution.
- Experience supporting accounts payable activities such as invoice processing, invoice coding, and check runs is preferred.
- Strong written and verbal communication skills for working effectively with vendors and cross-functional internal teams.
