We are looking for a detail-oriented Staff Accountant to join our team in Saint Paul, Minnesota. In this role, you will oversee core accounts receivable activities, help maintain accurate financial records, and support healthy cash flow through timely follow-up and reconciliation. You will work closely with internal stakeholders and clients to address billing questions, resolve account issues, and provide insight into receivables performance.
Responsibilities:
- Oversee day-to-day receivables activity by tracking customer balances, reviewing aging data, and driving timely follow-up on unpaid invoices.
- Evaluate new customer accounts for completeness and accuracy, and coordinate with internal partners to resolve setup issues or missing information.
- Verify incoming funds across payment channels, including checks, card payments, lockbox transactions, and deposits, to protect revenue accuracy.
- Post and apply payments correctly while researching exceptions such as unapplied cash, partial payments, credits, and remittance gaps.
- Reconcile accounts receivable records and maintain accurate transaction detail within the company’s accounting platform.
- Review payment patterns and delinquency trends to identify collection risk and recommend practical next steps.
- Partner with project accounting, finance, and operations teams to investigate billing discrepancies and bring accounts to resolution.
- Prepare reconciliations, reporting support, and account documentation for month-end close, receivables analysis, and management review.
- Communicate professionally with clients regarding open balances, invoice concerns, payment status, and account reconciliation matters.
- Assist with bad debt review, allowance analysis, write-off recommendations, and adherence to internal controls and accounting standards.
- Experience supporting accounts receivable functions, including payment posting, account reconciliation, and collections follow-up.
- Background in business-to-business collections and billing support within a detail-focused or corporate environment.
- Proficiency in Microsoft Excel for reviewing data, tracking trends, and preparing account analysis.
- Ability to analyze aging reports, identify discrepancies, and resolve issues with strong attention to detail.
- Working knowledge of accounting principles, internal controls, and financial record accuracy.
- Strong written and verbal communication skills for interacting with clients and cross-functional teams.
- Ability to manage multiple priorities independently while meeting deadlines and maintaining organization.
