The position will contribute to accurate reporting, vendor coordination, and timely financial processing across multiple priorities.

Responsibilities:

  • Manage the full accounts payable cycle, including reviewing invoices, entering payment data, preparing check runs, and resolving billing issues with accuracy and timeliness.
  • Handle annual 1099 preparation and processing while maintaining complete and organized supporting documentation.
  • Maintain vendor records and communicate with suppliers to address questions, payment matters, and account updates.
  • Support construction-related accounting activities by preparing loan draw packages, processing change orders, reviewing budgets, and tracking required notices, lien releases, and insurance documents.
  • Perform monthly bank reconciliations and investigate discrepancies to ensure account balances are accurate.
  • Assist with audit preparation and compliance-related reviews for properties by gathering records and supporting due diligence requests.
  • Update general ledger activity by preparing journal entries and helping maintain accurate financial records.
  • Compile monthly project financial reports and related subsidiary schedules to support management review and decision-making.
  • Provide administrative assistance as needed, including document filing, routine office support, and other tasks that contribute to smooth daily operations.
  • Take on additional duties as assigned to support team goals and overall business performance.
  • Working knowledge of accounts payable processes and core general accounting practices.
  • Proficiency with business software and accounting tools, including QuickBooks, Excel, Word, PowerPoint, and Outlook.
  • Strong data entry skills with the ability to identify issues, solve problems efficiently, and meet deadlines consistently.
  • High level of accuracy, attention to detail, and discretion when handling sensitive financial information.
  • Well-developed organizational skills with the ability to manage competing priorities and perform effectively under pressure.
  • Clear written and verbal communication skills, sound judgment, and a collaborative approach to working with internal and external contacts.
