The role combines hospitality, communication, and administrative coordination to help maintain an organized, responsive, and client-centered environment.

Responsibilities:

  • Welcome visitors, employees, and guests with a detail-oriented approach and provide guidance upon arrival, departure, and throughout their time on site.
  • Manage front desk interactions by answering inbound calls, responding to questions, and directing individuals to meeting rooms, workspaces, and shared amenities.
  • Maintain the reception and lobby areas to ensure they remain orderly, presentable, and aligned with workplace standards.
  • Coordinate with facilities and other support teams to prepare for meetings, events, and daily office activity while addressing needs in advance.
  • Submit and track work orders related to maintenance, custodial requests, safety matters, and security concerns through established channels.
  • Oversee visitor check-in procedures and help ensure a smooth, efficient arrival experience for all external guests.
  • Share accurate information about on-site services, transportation options, and general workplace resources to assist visitors and staff.
  • Monitor the front-of-house environment for privacy, security, or operational concerns and escalate issues to the appropriate personnel when needed.
  • Provide flexible administrative assistance and day-to-day operational support as business needs evolve.
  • Previous experience in a receptionist, front desk, guest services, or similar customer-facing position.
  • Strong verbal and written communication skills with the ability to interact professionally with visitors, employees, and vendors.
  • Demonstrated ability to manage inbound phone inquiries, in-person requests, and competing priorities in a fast-paced setting.
  • Excellent customer service and interpersonal skills with a calm and welcoming demeanor.
  • Ability to work collaboratively across teams, including facilities and workplace support functions.
  • Good judgment and attention to detail when handling visitor access, security awareness, and risk-related concerns.
  • Comfortable using workplace tools or systems to support check-in activity, work order submission, and general administrative tasks.
  • Reliable organizational skills and the ability to anticipate needs, solve problems proactively, and maintain a well-run front desk operation.
