We are looking for an experienced and dependable Receptionist to serve as the first point of contact for visitors and callers in our office. This Long-term Contract position is ideal for someone who enjoys creating a welcoming environment, keeping shared spaces organized, and supporting daily front desk operations with professionalism and care. The role combines guest services, meeting support, mail handling, and office coordination to help the workplace run smoothly each day.
Responsibilities:
- Welcome visitors and callers professionally, provide helpful information, and connect them with the appropriate staff or meeting spaces.
- Oversee front desk activity by guiding guest flow, maintaining visitor records, issuing access badges, and following established building security procedures.
- Prepare conference and meeting areas by arranging rooms, confirming calendars are current, and ensuring refreshments or basic room needs are ready.
- Receive incoming packages, coordinate deliveries, and sort and distribute mail to the correct team members in a timely manner.
- Track office, lobby, and kitchen supply levels and place replenishment orders to maintain day-to-day operations without interruption.
- Support internal and external meetings with room setup, cleanup, and other logistical assistance as needed.
- Manage the confidential shredding process by monitoring bin capacity and arranging replacement service when full.
- Keep the reception area, lobby, and shared meeting spaces neat, presentable, and ready for guests at all times.
- Contribute to team operations by attending required meetings or training sessions and assisting with administrative tasks or front desk documentation updates when requested.
- Previous experience in a receptionist, front desk, or office support role.
- Ability to manage multi-line phone systems and handle inbound calls courteously and efficiently.
- Strong organizational skills with experience coordinating calendars, conference rooms, and visitor scheduling.
- Comfortable supporting meeting room setup and cleanup while maintaining a well-organized office appearance.
- Clear verbal and written communication skills with a customer-focused approach to guest interactions.
- Ability to handle mail, deliveries, office supplies, and confidential materials with accuracy and discretion.
- Reliable time management skills and the ability to balance multiple priorities in a busy office environment.
