Original job description
We are looking for a dependable Receptionist to support daily front desk operations. This is a Contract position suited for someone who can work independently, communicate confidently in a largely virtual reporting structure, and deliver a high-touch experience for visitors and executive stakeholders. The ideal candidate brings prior reception experience, strong organizational skills, and the ability to manage meeting support, guest services, and administrative tasks with attention to detail.
Responsibilities:
- Welcome guests and staff courteously, ensuring a smooth and positive front desk experience throughout the day.
- Coordinate meeting room readiness by arranging seating, confirming room setup details, and supporting catering deliveries for scheduled events.
- Provide attentive service to executive-level employees and visitors, maintaining a detail-oriented and client-focused presence at all times.
- Manage incoming calls, messages, and general inquiries, directing requests to the appropriate contacts in a timely manner.
- Handle day-to-day administrative support such as filing, document preparation, data entry, copying, and other clerical tasks as needed.
- Maintain reception and common areas in an orderly condition while helping ensure office access and visitor procedures are followed appropriately.
- Work effectively with limited on-site supervision, using sound judgment to prioritize tasks and keep operations running smoothly.
- Support office logistics including mail, courier coordination, and other front office service requests as they arise.
- 2-4 years of receptionist or front desk experience in an office environment.
- Demonstrated ability to work independently with strong self-management and personal accountability.
- Experience supporting meetings through room setup, catering coordination, and hospitality-focused service.
- Comfortable interacting with executives, visitors, and internal stakeholders in a customer-facing setting.
- Proficiency with Microsoft Office applications, including Word, Excel, and PowerPoint.
- Strong verbal and written communication skills with a high standard of conduct.
- Solid administrative and clerical capabilities, including typing, filing, call handling, and document support.
