Original job description

We are looking for a Property Manager to oversee day-to-day operations for a portfolio of commercial and residential properties in Boca Raton, Florida. This role is ideal for an organized individual who can balance tenant relations, financial oversight, vendor coordination, and compliance responsibilities while keeping properties running smoothly. The position requires strong judgment, excellent organization, and the ability to manage multiple priorities in a fast-paced property management environment.

Responsibilities:

  • Oversee daily property management activities and serve as a key point of coordination for property operations across assigned sites.
  • Perform routine on-site inspections each week, document findings, and follow through on items requiring attention or corrective action.
  • Manage lease-related administration, review and process purchase applications, and prepare estoppel documentation as needed.
  • Meet regularly with tenants, owners, clients, and service providers to address operational needs, property concerns, and ongoing service expectations.
  • Respond to maintenance issues by coordinating requests, creating work orders in property management systems, and monitoring completion of repairs.
  • Maintain organized records for buildings, tenants, vendors, insurance certificates, and other essential property documentation.
  • Support accounts receivable and rent collection efforts through follow-up communication and timely resolution of outstanding balances.
  • Assist with annual budget development and prepare owner reporting packages, including financial statements, summaries, and variance analysis.
  • Review invoices, assign proper coding for accounts payable, help resolve billing disputes, and oversee vendor agreements and service performance.
  • Facilitate required annual and organizational meetings in accordance with Florida statutory requirements and company standards.
  • At least 5 years of experience in commercial property management, facility management, or a closely related field; exposure to residential properties is also valued.
  • Strong working knowledge of property operations, including building systems such as HVAC, elevators, fire life safety equipment, plumbing, irrigation, roofing, and tenant improvement work.
  • Proficiency with Microsoft Office applications, especially Excel, Word, Outlook, and spreadsheets, along with the ability to interpret financial reports and apply basic accounting principles.
  • Experience handling rent collections, accounts receivable activities, invoice review, and financial reporting within a property management setting.
  • Familiarity with property management platforms such as Rent Manager or AyaNova is preferred.
  • Excellent organizational, communication, and follow-up skills, with the ability to work independently, manage deadlines, and handle multiple responsibilities efficiently.
  • A valid driver’s license, reliable transportation, and current automobile insurance are required.
  • A community association or related credential is preferred, and a real estate license would be considered an advantage.
