Original job description

We are looking for a Property Administrator to support leasing and day-to-day property operations for a property management organization in San Diego. This contract-to-permanent position is ideal for someone who combines strong resident service skills with solid administrative follow-through, financial accuracy, and clear, detail-oriented communication. The role will help coordinate leasing documentation, maintain property records, assist with occupancy tracking, and contribute to a positive experience for prospective and current residents.

Responsibilities:

  • Coordinate leasing paperwork, prepare rental and move-in documents, and help ensure resident files are complete, accurate, and processed on schedule.
  • Support application intake and review by confirming required information, tracking approvals, and communicating next steps as directed by property leadership.
  • Perform or assist with move-in and move-out inspections, document unit condition thoroughly, and capture photographs to support property records.
  • Accept rent payments and service-related requests when assigned, while maintaining accurate documentation and timely follow-up.
  • Monitor model units and vacant apartments regularly to help keep them presentable and ready for tours.
  • Maintain leasing activity records, availability reports, traffic logs, and vacancy updates to support weekly reporting on occupancy and outstanding balances.
  • Gather market intelligence from competing properties and summarize rental comparisons to strengthen local leasing and pricing strategies.
  • Promote available units by staying informed on floor plans, pricing, availability, unit features, and approved marketing materials for outreach efforts.
  • Assist with special projects and operational tasks, including vendor coordination and other property-related support needs as requested by management.
  • Uphold fair housing standards and applicable landlord-tenant requirements, and escalate any compliance concerns promptly through the proper channels.
  • Prior experience in property administration, leasing support, or residential real estate operations.
  • Strong customer-facing communication skills with the ability to build rapport, present information clearly, and address questions professionally.
  • Working knowledge of lease documentation, rental applications, deposits, occupancy processes, and resident file management.
  • Familiarity with financial and administrative tasks such as accounts payable, accounts receivable, billing support, and budget-related processes.
  • Experience using business systems and software such as CRM platforms, accounting software, management systems, ADP, or JD Edwards EnterpriseOne.
  • Highly organized approach with the ability to manage multiple deadlines, maintain accurate records, and handle detailed paperwork.
  • Sound understanding of Fair Housing practices and the importance of compliance in residential property operations.
  • Resilient, service-oriented mindset with a positive attitude and the ability to adapt in a fast-paced environment.
