We are looking for a welcoming and organized Property Administrator to support daily front desk and workplace operations. This Contract position is ideal for someone who enjoys creating a positive on-site experience for visitors, tenants, and internal teams while keeping administrative tasks running smoothly. The role blends reception coverage, coordination, and general office support in a well-organized property environment.
Responsibilities:
- Welcome guests, tenants, and vendors at the front desk and provide courteous assistance with inquiries, directions, and check-in procedures.
- Manage incoming calls, messages, and general correspondence, ensuring requests are directed promptly to the appropriate contacts.
- Coordinate day-to-day workplace and reception activities to maintain an orderly, responsive, and service-focused office environment.
- Support property administration by preparing documents, updating records, and maintaining organized files for routine operations.
- Schedule meetings, assist with visitor logistics, and help oversee shared spaces so they remain presentable and ready for use.
- Track office and reception supply needs, place requests when inventory runs low, and help maintain smooth day-to-day operations.
- Partner with building staff, service providers, and internal teams to help resolve routine facility or tenant service issues in a timely manner.
- Assist with special projects and operational updates as needed, including administrative tasks tied to workplace process changes when applicable.
- At least 1 year of experience in a front desk, receptionist, workplace services, or administrative support role.
- Demonstrated ability to manage receptionist duties with discretion and strong customer service skills.
- Clear verbal and written communication skills with the ability to interact effectively with visitors, tenants, vendors, and team members.
- Strong organizational skills and attention to detail in handling multiple priorities in a fast-paced setting.
- Proficiency with standard office software and comfort learning property or workplace-related administrative systems.
- Ability to maintain a detail oriented front-of-house presence and represent the organization effectively.
- Dependable, adaptable, and capable of working independently while supporting a collaborative office environment.
