Original job description
We are looking for a Project Assistant to support scheduling coordination, service planning, and day-to-day operational alignment for field-based work in California. This contract opportunity with potential for a permanent role is ideal for someone who thrives in a fast-moving environment, enjoys balancing multiple priorities, and can keep teams informed and organized. The person in this role will help connect operational needs with technician availability, maintain accurate scheduling records, and contribute to efficient service delivery.
Responsibilities:
- Organize and adjust daily and long-range schedules for field personnel across multiple service areas to support customer commitments and operational priorities.
- Match technician availability with incoming work demand, including service visits, preventive maintenance, and project-related assignments.
- Update scheduling details, service records, and assignment changes within Salesforce and other tracking tools to keep information accurate and current.
- Communicate revised timelines, priority updates, and assignment changes to technicians, supervisors, and operations partners.
- Work closely with local leadership to help maintain appropriate coverage levels and address staffing gaps before they affect service delivery.
- Review schedule overlaps, resource constraints, and conflicting appointments, then recommend practical solutions to improve workflow.
- Monitor open service needs and contribute to planning activities that support workload balancing and resource forecasting.
- Prepare reports and maintain documentation related to scheduling activity, workload trends, and operational support efforts.
- Assist with process improvement efforts tied to workforce coordination, scheduling efficiency, and project support activities.
- At least 3 years of experience in scheduling, dispatch, coordination, project support, administrative operations, or a related function.
- Background supporting field service, logistics, operations, construction, manufacturing, or technical service environments is preferred.
- Proficiency with Salesforce is strongly preferred.
- Solid Microsoft Office skills, with particular strength in Excel.
- Strong communication skills with the ability to coordinate effectively across technicians, managers, and operational teams.
- Demonstrated ability to manage timelines, stay organized, and handle multiple competing priorities in a fast-paced setting.
- Strong attention to detail, with excellent problem-solving skills and a collaborative work style.
