We are looking for a detail-oriented Payroll Tax Analyst to join our team in Denver, Colorado in a Contract to permanent capacity. This role focuses on strengthening payroll tax compliance across multiple entities by closing outdated tax accounts, setting up new registrations, correcting existing records, and maintaining well-organized supporting documentation. The position works closely with payroll and accounting stakeholders while independently managing agency communication and tracking progress across a multi-state payroll tax project.
Responsibilities:
- Review legacy payroll tax accounts across state and local jurisdictions, document key account details, and determine the actions needed to bring each record to completion.
- Coordinate final return activity and submit closure or de-registration requests for outdated tax accounts, following through with agencies until written confirmation is received.
- Investigate unresolved notices, balances, or audit-related issues tied to tax accounts and elevate complex items that require management review.
- Research registration obligations for new entities based on employee work and residence locations, then complete required withholding, unemployment, and local tax account setups.
- Verify that newly issued account numbers, filing schedules, and tax rates are accurately reflected in payroll records and with any external tax filing partners.
- Update existing tax registrations to correct mismatched account information, resolve agency correspondence, and support amended filings when prior submissions were tied to incorrect accounts.
- Maintain an audit-ready documentation structure for registration records, rate notices, agency letters, powers of attorney, and other payroll tax support materials.
- Prepare a clear summary of accounts opened, corrected, and closed, including supporting records and state-specific process notes for future maintenance.
- Partner regularly with Payroll, Accounting, HR, and IT to confirm entity details, work locations, system setup accuracy, project risks, and outstanding action items.
- Hands-on experience managing full-cycle payroll with a strong emphasis on payroll tax administration and reporting.
- Demonstrated knowledge of multi-state payroll tax requirements, including withholding, unemployment, and local tax registrations.
- Background supporting payroll operations for large employee populations, ideally in environments with more than 500 employees.
- Ability to work independently on project-based assignments while maintaining accuracy, organization, and consistent follow-up with tax agencies.
- Strong documentation and reconciliation skills, with the ability to compare agency records against payroll data and identify discrepancies.
- Effective communication skills for working cross-functionally with payroll, accounting, HR, and technical teams.
- High level of discretion and professionalism when handling confidential employee and company information.
