The position suits a hands-on detail-oriented individual who can manage detailed administrative work while serving as a dependable point of contact for both employees and leadership.
Responsibilities:
- Manage recurring payroll processing for a workforce of about 55 employees, ensuring pay is issued accurately and on schedule.
- Administer pay practices for both union and non-union staff, including earnings, deductions, overtime calculations, and benefit-related withholdings.
- Maintain complete and accurate payroll records while partnering with supervisors to collect and verify time and compensation data.
- Address payroll-related questions from employees, investigate discrepancies, and resolve issues in a timely manner.
- Oversee benefit administration for medical, dental, vision, life insurance, and retirement plans, including enrollments, life event changes, and open enrollment support.
- Track paid time off, sick leave, and other leave balances while keeping employee records current and organized.
- Support onboarding activities, prepare new employee documentation, and maintain personnel files and compliance-related employment records.
- Assist with union reporting, benefit contribution tracking, prevailing wage documentation, and certified payroll requirements when applicable.
- Monitor compliance with payroll, labor, and employment regulations at the federal, state, and local levels, including workers’ compensation documentation and training record tracking.
- Provide day-to-day administrative support to managers and employees, helping foster clear communication and a well-organized office environment.
- At least 3 years of experience handling full-cycle payroll in a detail-oriented business environment.
- Background in payroll administration for organizations with 50 to 500 employees, preferably within construction, field services, or a related industry.
- Experience supporting union payroll processes and understanding related deductions, reporting, and contribution requirements.
- Proficiency with payroll systems such as ADP Workforce Now and experience using QuickBooks in a business setting.
- Working knowledge of benefits administration, including employee enrollments, leave tracking, and retirement plan support.
- Familiarity with prevailing wage rules, certified payroll practices, and payroll compliance requirements.
- Strong organizational, communication, and problem-solving abilities, with careful attention to accuracy and deadlines.
- Ability to handle confidential employee and compensation information with discretion and care.
