The person in this role will help keep provider schedules organized, prepare visits thoroughly, and serve as a dependable point of contact for administrative and clinical coordination.
Responsibilities:
- Welcome patients and visitors professionally, answer routine questions, and provide attentive service throughout the scheduling and check-in process.
- Coordinate office visits, follow-up appointments, hospital-based services, and outpatient procedures while ensuring timely action on patient needs.
- Arrange endocrine-related testing and treatments, including specialized procedures, and place patients appropriately to support efficient provider workflows.
- Review provider schedules at the close of each day to confirm follow-up visits have been arranged and address any outstanding scheduling needs.
- Gather required records, prepare charts in advance of appointments, and ensure the provider has the necessary clinical information before each visit, evaluation, or procedure.
- Process provider-ordered referrals, schedule future testing, and communicate appointment details clearly to patients and internal team members.
- Verify patient demographic and insurance information, support pre-certification activities, and maintain confidentiality in accordance with practice policies.
- Assist with administrative office tasks such as faxing, copying, filing, mailings, and coordination with external vendors or service partners.
- Support patients with required forms, help coordinate medication-related authorization workflows, and alert clinical staff in advance of scheduled injection visits.
- Communicate scheduling concerns or operational issues promptly to the provider or team lead and provide cross-training support to other staff when needed.
- Prior experience in patient scheduling, medical office coordination, or a similar healthcare support role.
- Familiarity with handling patient medical records and preparing documentation ahead of clinical visits.
- Working knowledge of insurance verification, referrals, and pre-authorization or pre-certification processes.
- Ability to manage multiple appointments, procedures, and follow-up needs with strong attention to detail.
- Comfortable assisting patients in person and over the phone with professionalism and empathy.
- Strong organizational, communication, and clerical skills, including filing, faxing, and general office support.
- Commitment to protecting confidential patient information and following privacy standards.
- Ability to collaborate effectively with providers, clinical staff, and external partners in a fast-paced setting.
