The position is primarily focused on paralegal responsibilities while also providing meaningful administrative support to Human Resources in a fast-paced office environment.

Responsibilities:

  • Partner with attorneys, brokers, and claims professionals to organize submissions, monitor coverage matters, and support employment-related claims activity.
  • Assist with responses to agency complaints and legal requests by gathering records, preparing document sets, and coordinating materials under attorney guidance.
  • Maintain litigation and arbitration files, track key dates, and help manage discovery, deposition preparation, and exhibit organization for active matters.
  • Administer legal hold processes by issuing notices, monitoring acknowledgements, and supporting document preservation efforts across the business.
  • Handle subpoenas, wage-related claims, and employment verification requests with careful attention to deadlines and accuracy.
  • Research developments in labor and employment law and prepare concise summaries to help HR leaders stay informed of changing requirements.
  • Support workplace investigations by arranging interviews, organizing documentation, and preparing factual summaries for review by counsel or HR leadership.
  • Contribute to the maintenance of policies, employee handbook content, and required workplace notices while tracking jurisdiction-specific posting obligations.
  • Manage confidential HR files, assist with accommodation documentation, produce routine HR reports, and provide administrative coordination for the HR team.
  • Associate degree, bachelor’s degree, or completion of a paralegal certificate program from an approved institution.
  • At least 3 years of paralegal experience, including 1 or more years supporting employment or labor law matters.
  • Working knowledge of major employment law and compliance frameworks, including leave, anti-discrimination, wage and hour, and employment eligibility requirements.
  • Experience helping prepare agency charge responses or assisting with employment litigation and related legal proceedings.
  • Ability to handle confidential personnel and legal information with strong discretion and sound judgment.
  • Proficiency with legal research platforms, Microsoft 365, and case or document management systems.
  • Strong written communication, organization, and deadline management skills across multiple active matters.
  • Prior exposure to HR administration, accommodation tracking, or HR systems is preferred, and certification is a plus.
