The ideal candidate is comfortable working with electronic medical record systems, collaborating with internal teams and outside providers, and upholding strict standards for record integrity and compliance.

Responsibilities:

  • Establish and organize new participant charts within the electronic record system, ensuring all required information is entered correctly from the start.
  • Update and maintain demographic details with a high level of accuracy so records remain current and reliable.
  • Scan, index, and file medical documentation into the electronic medical record while following applicable privacy and compliance standards.
  • Monitor record quality by reviewing charts for completeness, consistency, and proper documentation practices.
  • Route materials that do not belong in the medical record to the appropriate department or contact while maintaining confidentiality requirements.
  • Oversee day-to-day departmental workflow when leadership is unavailable, helping maintain continuity of operations.
  • Handle routine requests for release of information in accordance with established policies and authorization procedures.
  • Obtain hospital records through approved external systems and coordinate with outside medical providers to secure documentation needed for continuity of care.
  • Assist with departmental audits and conduct chart reviews to verify accuracy, identify gaps, and support compliance efforts.
