Original job description
We are looking for a detail-oriented Operations Processor to support billing accuracy, vendor coordination, and invoice reconciliation for a growing organization in Center Valley, Pennsylvania. This Long-term Contract position plays an important role in connecting maintenance activity with timely customer invoicing, helping ensure strong vendor relationships and a high standard of service. The ideal candidate brings a careful approach to financial review, problem-solving, and cross-functional follow-up in a fast-paced operations environment.
Responsibilities:
- Manage completed repair orders by reviewing open items, reducing backlog, and advancing work toward vendor payment and customer billing.
- Investigate aging transactions and prioritize older unresolved repairs to keep invoicing current and operational queues under control.
- Contact service providers to collect missing invoice documentation and confirm line-item details for completed repair events.
- Monitor approval-related exceptions and follow up with internal stakeholders or customers to prevent unnecessary billing delays.
- Review repair records for accuracy by validating labor entries, parts charges, and pricing calculations before invoices are finalized.
- Compare vendor invoices against agreed pricing terms and quoted amounts to identify billing discrepancies, excessive charges, or unsupported fees.
- Document recurring processing errors and prepare organized reporting that helps management improve operational consistency and team performance.
- Reconcile charges from major vendor portals with internal billing records, investigate mismatches, and pursue credits or corrections when needed.
- Support payment processing for key vendor accounts after confirming invoice accuracy and required approvals are complete.
- Experience with accounts payable, invoice processing, or account resolution in an operations, finance, or customer support environment.
- Ability to audit billing details carefully and identify inconsistencies in rates, fees, markups, or supporting documentation.
- Strong organizational skills with the ability to manage aging items, competing priorities, and follow-up tasks effectively.
- Confidence communicating with vendors and internal teams to obtain documents, resolve discrepancies, and move work to completion.
- Proficiency with data entry and transaction review in business systems, including invoice-related workflows.
- Analytical mindset with sound judgment in risk awareness, billing validation, and issue escalation.
- Ability to work accurately in a structured, process-driven setting while maintaining service quality and turnaround expectations.
