We are looking for an organized and experienced Office Manager to provide executive-level administrative and operational support in Zeeland, Michigan. This Long-term Contract position is ideal for someone who can balance day-to-day office coordination with high-priority assignments involving communications, scheduling, and project follow-through. The person in this role will work closely with leadership to keep initiatives moving, maintain well-structured information systems, and support both business-related activities and select executive needs with professionalism and discretion.

Responsibilities:

  • Prepare, revise, and refine written materials for leadership, including presentations, reports, updates, and other business communications.
  • Coordinate assignments from senior leadership by tracking deadlines, organizing documentation, and ensuring next steps are completed across multiple active projects.
  • Maintain orderly digital records within shared platforms and support document routing, approvals, and file accessibility across office systems.
  • Assist with evaluating and implementing administrative tools and platforms that improve organization, workflow efficiency, and information management.
  • Liaise with external service providers such as technology, legal, and finance contacts while helping manage onboarding paperwork, renewals, and related records.
  • Arrange meetings and executive sessions by handling calendars, logistics, materials, food orders, and follow-up actions needed for smooth execution.
  • Support office operations through mail handling, general coordination tasks, errands, and updates to internal procedures when needed.
  • Manage sensitive business and personal information with sound judgment, a high level of confidentiality, and consistent professionalism.
  • Coordinate travel planning and related arrangements for executive needs, including itinerary organization and scheduling support.
  • Demonstrated experience in office management, executive support, or administrative coordination within a structured work environment.
  • Strong written communication and editing skills with the ability to produce high-quality business documents and presentation content.
  • Excellent organizational skills and attention to detail, with the capacity to manage multiple priorities and shifting deadlines effectively.
  • Proficiency with business technology and collaboration tools, including Microsoft Office and digital document management platforms such as SharePoint, Adobe, DocuSign, or Airtable.
  • Experience supporting calendars, meetings, and travel arrangements for executives or leadership teams.
  • Ability to work collaboratively, adapt quickly to changing needs, and take initiative to solve problems independently.
  • Discretion and sound judgment when handling confidential information.
  • Bachelor’s degree or comparable practical experience is preferred.
