Original job description

We are looking for a compassionate and highly organized Medical Scheduler to support appointment coordination and patient access for a healthcare organization in North Carolina. This contract-to-permanent opportunity is well suited for someone who thrives in a busy clinical environment, communicates clearly with patients, and maintains accuracy across scheduling and registration tasks. In this role, you will help patients secure appropriate appointments, keep provider schedules running efficiently, and ensure information is documented correctly within healthcare systems.

Responsibilities:

  • Coordinate initial, return, and rescheduled visits by matching patient needs with provider availability and clinic capacity.
  • Answer incoming patient calls, address appointment-related questions, and assist with scheduling changes in a courteous and timely manner.
  • Partner with physicians, nursing staff, and internal departments to arrange visits that support seamless patient care.
  • Verify and update demographic, insurance, and registration details to maintain complete and accurate patient records.
  • Communicate appointment times, arrival instructions, and visit preparation details so patients know what to expect before their visits.
  • Record scheduling activity and patient information accurately in the electronic health record and associated scheduling platforms.
  • Monitor provider calendars, identify double bookings or timing conflicts, and make adjustments as operational needs change.
  • Assist with referral processing, authorization support, and other administrative tasks connected to appointment coordination.
  • Provide attentive front-office support while handling sensitive health information with discretion and confidentiality.
  • At least 2 years of experience in medical scheduling, patient access, or a similar healthcare administrative role.
  • Demonstrated ability to schedule patient appointments accurately in a fast-paced clinical or hospital setting.
  • Experience reviewing and updating patient demographic and insurance information.
  • Strong verbal communication skills with the ability to assist patients clearly and professionally by phone and in person.
  • Familiarity with electronic health records and computerized scheduling systems.
  • Strong organizational skills with close attention to detail and the ability to manage multiple priorities.
  • Commitment to maintaining confidentiality and handling protected health information appropriately.
