Description We are looking for an experienced grants administration specialist to support a non-profit organization in New York, New York through the full lifecycle of sponsored funding. This contract opportunity is ideal for someone who can combine proposal development, post-award financial oversight, and portfolio management while partnering closely with principal investigators and funding sponsors. The person in this role will help ensure grant activity remains compliant, financially sound, and aligned with award obligations across government, foundation, federal, and private funding sources.

Responsibilities:

  • Lead the preparation and submission of grant and contract applications, ensuring each package meets sponsor instructions and institutional standards before final approval.
  • Build proposal budgets and assemble all required supporting materials for both prime awards and subawards across a range of funding programs.
  • Oversee award setup and subsequent updates, maintaining accurate records and ensuring grant data is properly reflected in administrative systems.
  • Interpret and communicate award provisions, including reporting expectations, effort commitments, deliverables, and potential overlap with existing funded work.
  • Manage receivables and unbilled balances across the research administration portfolio, following up on aging items to support timely resolution.
  • Produce and maintain budget-to-actual reporting for principal investigators, giving clear visibility into available funding and spending trends.
  • Review grant expenditures on a regular basis, refresh financial projections monthly, and deliver consistent portfolio reporting to stakeholders.
  • Partner with investigators to forecast spending, refine budget assumptions, and support ongoing financial planning throughout the life of each award. Requirements
  • 7+ years of experience in grants administration, including both pre-award and post-award responsibilities.
  • Demonstrated expertise managing government, foundation, federal, and private grant funding.
  • Strong background in grant proposal coordination, grant writing support, and sponsor guideline compliance.
  • Proven ability to develop and administer budgets, monitor expenses, and analyze portfolio-level financial activity.
  • Advanced Microsoft Excel skills for reporting, forecasting, and financial tracking.
  • Experience maintaining grant records, award documentation, and portfolio administration processes with a high level of accuracy.
  • Excellent communication skills with the ability to work effectively with principal investigators, internal stakeholders, and external sponsors.
