Original job description

We are looking for a detail-oriented Loan Closer - Support team member to join a busy closing operation in Wisconsin. This Long-term Contract position supports a smooth and accurate real estate closing process by partnering with attorneys, agents, and internal teams to keep files moving efficiently. The role is ideal for someone who enjoys precision, customer service, and managing documentation in a deadline-driven environment.

Responsibilities:

  • Partner with attorneys, real estate professionals, and closing staff to help deliver an organized and positive closing experience for all parties involved.
  • Confirm seller identity and validate wire instructions using designated verification and closing platforms before funds are disbursed.
  • Enter and maintain complete buyer and seller information in the closing system, ensuring records are accurate and updated throughout the transaction.
  • Review payoff statements, seller documents, and closing packages ahead of scheduled closings to identify missing items or discrepancies.
  • Request required closing documentation, support remote online notarization scheduling, and attend virtual signings as a notary or witness when needed.
  • Send settlement-related documents to the seller’s attorney for execution and track file progress through completion.
  • Receive, sort, scan, and route overnight packages and other incoming documents to the correct teams for timely handling.
  • Audit executed closing documents for signatures, dates, notarizations, recording language, fees, taxes, and county-specific compliance requirements, then coordinate corrections when issues arise.
  • Manage post-closing activities such as processing surveys, obtaining transfer stamps, ordering municipal recording items, and organizing files to support timely recording.
  • Participate in team huddles, monitor assigned workflow tasks, and assist with additional projects that support daily closing operations and productivity goals.
  • 1-2 years of experience in a title company, mortgage closing, or closely related real estate transaction environment.
  • Working knowledge of mortgage closing processes, loan documentation, and post-closing file review.
  • Familiarity with title exceptions and basic clearance requirements.
  • Prior customer service experience with the ability to communicate professionally with attorneys, agents, and internal stakeholders.
  • Strong attention to detail and the ability to identify incomplete, inconsistent, or inaccurate documentation.
  • Experience using closing, mortgage, or loan origination systems such as Resware, Encompass, or similar platforms.
  • Ability to organize multiple files, manage deadlines, and maintain accuracy in a fast-paced setting.
