We are looking for an experienced Legal Assistant to join a busy litigation team on a contract basis. This contract assignment is expected to last approximately 6 to 12 weeks and is ideal for someone who can step in quickly, manage competing priorities, and provide high-quality support in a fast-paced, client-facing setting. The role combines executive assistance with litigation-focused administrative work, requiring strong judgment, organization, and responsiveness. This hybrid opportunity generally includes four days onsite and one remote day, with occasional schedule flexibility based on mediation and case demands.
Responsibilities:
- Oversee a complex calendar by coordinating meetings, deadlines, and shifting priorities while anticipating support needs in advance.
- Manage mediation logistics from initial scheduling through closeout, including arranging rooms, welcoming attendees, and organizing food service when needed.
- Book and adjust travel plans, lodging, ground transportation, dining reservations, conference details, and occasional personal arrangements.
- Provide day-to-day administrative assistance by preparing correspondence, responding to information requests, and keeping operational details on track.
- Submit court filings electronically across multiple jurisdictions with close attention to deadlines and filing requirements.
- Process incoming mail by sorting, scanning, and routing materials efficiently to support timely legal follow-up.
- Notarize documents and coordinate delivery of finalized materials to paralegals and other team members for filing or further action.
- Support litigation workflows by assisting with conflict checks, ordering hearing and deposition transcripts, and gathering information needed for urgent requests.
- Assemble, print, and organize legal documents for attorney review, signature, and approval, ensuring materials are complete and presentation-ready.
- Demonstrated experience supporting civil litigation matters in a legal assistant or similar litigation support role.
- Strong working knowledge of e-filing procedures, court filings, and jurisdiction-specific filing practices.
- Proven ability to manage intensive calendaring, coordinate mediations, and handle time-sensitive scheduling changes.
- Comfortable communicating directly with clients and delivering a high standard of detail-oriented service.
- Able to work effectively with attorneys, clients, and stakeholders with varying communication styles and expectations.
- Highly organized, resourceful, and capable of operating with minimal supervision from the start of the assignment.
- Willingness to work a hybrid schedule in Dallas, Texas and adjust hours occasionally based on business needs.
