- Arrange depositions and coordinate scheduling with counsel, clients, court reporters, and additional parties involved in each matter.
- Organize incoming discovery and case documents, including downloading, sorting, and maintaining records for easy retrieval.
- Prepare and submit electronic filings, assist with service of pleadings, and handle routine litigation correspondence.
- Maintain accurate electronic case files so documents are properly stored, updated, and accessible to the legal team.
- Manage phone calls, written communications, and interactions with clients, attorneys, and opposing counsel in a thorough and attentive manner.
- Handle invoice processing and provide general secretarial support to assist with daily office operations.
- Track multiple matters at once and respond proactively to shifting priorities and approaching deadlines.
- At least 5 years of experience as a Legal Assistant or Legal Secretary within insurance defense litigation.
- Practical knowledge of civil litigation processes, including e-filing, discovery coordination, service procedures, and deposition scheduling.
- Experience supporting attorneys who manage a demanding and active litigation workload.
- Strong organizational ability with proven success balancing multiple deadlines in a fast-paced environment.
- Excellent attention to detail along with effective written and verbal communication skills.
- Proficiency with Microsoft Office and electronic document management platforms.
- Direct insurance defense experience is strongly preferred; plaintiff-side personal injury backgrounds will not align with this role.
- Reliable, self-directed, and detail-oriented, with a consistent record of dependability and commitment.
