We are looking for an experienced Legal Assistant to join a respected organization in Newport Beach, California on a Long-term Contract basis. This fully onsite role supports an active in-house legal team and is ideal for someone who thrives in a corporate setting where litigation support and legal operations intersect. The position offers the chance to partner closely with attorneys and internal stakeholders while helping keep matters organized, timely, and moving forward. Candidates should be comfortable working in the office Monday through Friday.
Responsibilities:
- Partner with attorneys on active disputes and pre-dispute matters, providing administrative and case support from opening through resolution.
- Monitor case activity by maintaining status reports, tracking hearings and filing deadlines, and updating settlement-related information as matters progress.
- Prepare routine legal documents and assist with drafting responses to discovery requests in coordination with counsel.
- Oversee calendaring for legal matters to help ensure court dates, response deadlines, and related obligations are met on time.
- Coordinate service of process, distribute legal correspondence, and manage communications with outside parties and internal teams.
- Handle document production tasks such as organizing files, scanning, printing, mailing, Bates labeling, and assembling materials for review or submission.
- Draft clear correspondence and help facilitate communication with opposing counsel, vendors, and business partners across the organization.
- Maintain attorney schedules, arrange meetings, and preserve organized legal records to support the day-to-day workflow of the department.
- Contribute to departmental initiatives and special projects while serving as a dependable point of contact for cross-functional collaboration.
- At least 3 years of experience in a Legal Assistant role.
- Demonstrated background supporting civil litigation matters, including familiarity with pre-litigation workflows.
- Working knowledge of California court procedures, electronic filing practices, and court filing systems.
- Experience in areas such as landlord-tenant disputes, real estate litigation, collections, or broader business litigation is strongly preferred.
- Strong ability to manage calendars, monitor deadlines, and keep multiple matters organized in a fast-paced setting.
- Clear written and verbal communication skills with the professionalism to interact effectively with attorneys and business stakeholders.
- Proficiency with Microsoft Office applications, especially Word, Outlook, and Excel, along with solid document management skills.
- Detail-oriented, reliable, and proactive approach with the ability to balance competing priorities effectively.
