Original job description

A North County organization is looking for an HR Operations & Leave Coordinator to support employee changes, leave administration, HR documentation, and day-to-day employee requests. This role is well suited for an HR professional who enjoys keeping records accurate, coordinating with employees and managers, and making sure sensitive processes are handled with care. You'll serve as an important administrative resource for the HR team, helping coordinate employee leaves, track documentation, update systems, and keep requests moving between employees, HR leadership, benefits partners, and payroll. The team needs someone who is discreet, organized, and comfortable managing deadlines while communicating with employees who may have questions about complicated processes.

Responsibilities include:

  • Coordinate leave-of-absence requests and maintain leave tracking records.
  • Communicate required forms, deadlines, and next steps to employees.
  • Track leave documentation and coordinate follow-up with employees and relevant providers or benefits administrators, as appropriate.
  • Maintain employee records related to leave, return-to-work status, and employment changes.
  • Update HRIS information for transfers, promotions, status changes, and terminations.
  • Assist with benefits administration and employee questions regarding HR procedures.
  • Coordinate with payroll regarding leave-related pay and timekeeping updates.
  • Maintain confidential documentation and organize electronic personnel files.
  • Prepare reports tracking leave activity, outstanding paperwork, and employee status changes.
  • Support onboarding and offboarding when additional coverage is needed.
  • Help maintain HR procedures, templates, and internal documentation.
  • Identify opportunities to streamline employee request tracking and follow-up.
  • 2–4 years of HR operations, leave coordination, benefits administration, or HR support experience.
  • Strong organization and documentation skills.
  • Ability to handle confidential employee information professionally.
  • Familiarity with HRIS systems, timekeeping, and Microsoft Excel.
  • Excellent written and verbal communication.
  • Strong follow-through and ability to manage multiple open requests.
  • Exposure to FMLA, CFRA, or other leave administration processes is preferred.
