We are looking for a detail-oriented Grants Billing Accountant to support grant and contract financial operations in Seattle, Washington. This Contract position will focus on post-award accounting, invoicing, reconciliations, and financial reporting while helping ensure compliance with sponsor requirements and internal standards. The ideal candidate brings strong analytical skills and experience working with grant-funded programs, billing processes, and accounting systems in a deadline-driven environment.
Responsibilities:
- Administer assigned grants and contracts after award, overseeing financial activity and ensuring billing and reporting obligations are met on schedule.
- Examine award terms, funding documents, and approved budgets to determine invoicing rules, reporting expectations, and compliance needs.
- Create and submit invoices, reimbursement requests, and sponsor-facing financial reports with complete and accurate supporting documentation.
- Track grant balances, reporting deadlines, receivables, and billing milestones, and raise issues when variances or risks are identified.
- Reconcile grant-related revenue, expenses, payments, and outstanding receivables to maintain accurate financial records.
- Review charges from the general ledger, payroll, accounts payable, and expense records to confirm allowability, coding accuracy, and alignment with approved budgets.
- Investigate billing discrepancies, resolve reporting differences, and coordinate with funders and internal teams on payment questions or corrections.
- Contribute to month-end close, year-end activities, audit preparation, and contract closeout by preparing schedules, expenditure reports, and budget-to-actual analysis.
- Partner with program and finance staff to provide guidance on documentation, billing practices, compliance expectations, and grant financial management.
- Identify opportunities to strengthen reporting quality, internal controls, and overall efficiency within grant accounting processes.
- Experience in grant accounting, contract accounting, or post-award financial administration.
- Working knowledge of grant compliance requirements, allowable cost principles, and financial reporting standards.
- Ability to prepare invoices, reimbursement requests, reconciliations, and sponsor financial reports with a high level of accuracy.
- Proficiency analyzing financial data across general ledger, payroll, accounts payable, and expense systems.
- Strong skills in budget monitoring, variance analysis, and resolution of accounting discrepancies.
- Experience using accounting or fund administration systems such as Abila MIP or NetSuite.
- Familiarity with government grants and fund administration practices.
- Effective communication skills with the ability to work closely with finance teams, program staff, and external funders.
