Original job description

We are looking for a Grant Analyst to support public and governmental grant activity for an education institution located in the Greater Philadelphia Region. This is a contract position focused on coordinating both proposal development and post-award administration, while helping teams stay aligned with sponsor requirements and internal deadlines. The ideal Grant Analyst candidate will bring strong analytical, writing, and budget oversight skills to manage submissions, reporting, and cross-functional grant compliance in a university environment.

Here’s how you’ll contribute each day:

  • Lead the full pre-award process by identifying funding opportunities, preparing concise opportunity summaries, and coordinating timely proposal submissions to government and public funding sources.
  • Develop complete grant application packages by drafting narratives, assembling supporting materials, and ensuring all required documents are accurate and submission ready.
  • Oversee post-award administration, including the preparation and delivery of recurring financial reports and internal reporting summaries for stakeholders.
  • Partner with finance and program leadership to monitor grant budgets, track spending patterns, and maintain alignment with approved funding allocations and sponsor rules.
  • Review awarded projects for adherence to grant terms, institutional policies, and regulatory requirements, and address compliance concerns as they arise.
  • Communicate key funding, reporting, and expenditure information to project directors, financial managers, and related departments to support effective grant execution.
  • Prepare and coordinate grant-related agreements and partner documentation, including contracts, subcontracts, riders, and letters of agreement for externally funded initiatives.
  • Track expenses and project progress for assigned awards, escalate significant implementation issues when necessary, and help obtain approvals for scope or budget adjustments.
  • Maintain a centralized calendar for submission dates, reporting milestones, and compliance deadlines to support proactive grants management.
  • Act as a point of contact for funders, program officers, and external partners, while responding to internal questions regarding grant policies and procedures.

Other requirements for the Grant Analyst position include and are not limited to:

  • Bachelor’s degree required.
  • At least 3+ years of experience in grants, fundraising, or sponsored program administration within a corporate, nonprofit, foundation, or higher education setting.
  • Proven ability to build relationships with funding organizations and support successful funding outcomes.
  • Experience producing clear, accurate, and well-organized written reports, proposals, and presentations.
  • Proficiency with Microsoft Office applications.
  • Experience working with donor, grant, or CRM database systems such as Raiser’s Edge or similar platforms.
  • Knowledge of budget oversight, financial tracking, and compliance practices related to externally funded projects.
  • Familiarity with tools or processes related to accounting, auditing, reporting, and budget administration is preferred.
